Black Oaks Center (BOC) is a Black led, non-profit organization based in Chicago and Pembroke Township, Illinois. Our mission is to build community resilience in the face of climate uncertainty, resource decline, and economic instability through 4 skills-building tracks (see website). This role is primarily to support the President in strengthening the organization's infrastructure and capacity building across all four skill-building tracks.
We are seeking a highly organized and mission-driven Administrative Assistant who excels in both administrative and operational roles, and who is passionate about achieving success in the face of adversity, promoting sustainability, resilience food justice, and wellness to drive community transformation.
Position Overview: The Administrative Assistant will provide key support to leadership and coordinate with staff to create and maintain a positive, inspiring, and productive work environment. The admin assistant will assist with effective communication and efficient management. This role combines administrative excellence with the ability to work well with people to advance projects across the four skills-building tracks. The right candidate can work autonomously, is dedicated, dependable, reliable, organized, compassionate, and deeply aligned with our mission. The candidate must have solid IT skills and is adept in a number of platforms including Microsoft office.
Key Responsibilities:
Provide remote administrative support, including email, phone, and text communication.
Implement organizational improvement and develop systems upgrades across the administrative and operations interface, including bookkeeping systems.
Support the President with project implementation, planning, reporting,
Assist with staff evaluations and performance review structure (3-month evaluations).
Provide executive-level management support to ensure projects remain on schedule and on track.
Qualifications:
Proven administrative experience, project management a plus.
Strong organizational and time management skills with attention to detail.
Bookkeeping and accounts payable experience; ability to set up systems and support the BOC accountant.
Excellent communication skills (phone, text, email) with the ability to be both assertive and diplomatic.
Strong IT/computer skills (Microsoft, Google Suites, filing systems, digital communication).
Experience in executive or leadership support preferred.
Ability to work independently and manage multiple priorities.
High emotional intelligence and compassion; ability to engage with individuals who may have experienced trauma.
Dependable, reliable, and mature with a strong sense of accountability.
Passionate about community resilience, community transformation, and Black Oaks’ mission.
Must be willing and able to travel up to 40% of the time to BOC ecocampus.
