Summary: The Office Manager oversees all office functions including reception, bookkeeping, social media, calendaring, and correspondence, and works together with other staff and church members to keep all church programs running smoothly.
Details:
· The Office Manager reports to Staff-Parish Relations Committee Chair, with supervision by the pastor. Job evaluation shall be conducted annually by the SPRC.
· Hours are Monday to Thursday, 9:00 AM - 2:00 PM, with flexibility by mutual agreement
· Compensation $20-24/hour based on experience, paid as a monthly salary
· There will be a probationary period of 3 months.
· Vacation and sick leave policy will be determined upon hiring. The Office Manager is requested to provide 30 days’ notice of vacation requests.
· The Office Manager is also requested to provide 30 days’ notice before leaving the position.
Qualifications:
· Bachelor’s degree, or equivalent education and/or experience.
· 3-5 years of office management experience preferred, including bookkeeping experience.
· Proficient with Windows, Quickbooks, Microsoft Office, Google Suite, Mailchimp, and Facebook, including strong word processing and spreadsheet skills.
· Basic IT skills.
· Able to work independently, and to collaborate with others as needed.
· Strong leadership and community skills; friendly and caring demeanor; able to maintain strict confidentiality as required.
Responsibilities:
· Financial:
o Review and pay bills (as approved by pastor and/or committee members), including monthly apportionments to WNC Conference.
o Maintain accurate records on Quickbooks, including recording all financial transactions and reconciling accounts monthly.
o Provide weekly, monthly, and annual financial reports, including annual statements to donors.
o Draft annual budget in cooperation with Finance Committee.
o Oversee payroll, including providing information to payroll agency, reviewing reports, and ensuring that contractors receive year-end tax documents.
o Apply for twice-yearly sales tax refunds.
· Communications:
o In consultation with pastor, music director, and lay leader, draft and distribute order of worship weekly and for special events.
o Draft and send weekly e-newsletter; update website calendar and social media accounts.
o Handle all correspondence, including acknowledgments of donations.
o Understand the responsibilities of all employees and committee members, and direct any incoming requests accordingly.
o Support ministry of church, including special ministry needs arising from life events of church members.
o Maintain strict confidentiality. (Breach of confidentiality will be grounds for immediate dismissal.)
· Clerical:
o Maintain accurate records of membership, attendance, and other church matters.
o Maintain calendars for meetings and use of church space.
o Maintain an organized filing system for all documents.
o Annually update membership directory and associated mailing lists.
o Supervise annual reporting to WNC Conference.
o Submit background checks for new employees.
· Operations:
o Support committee decision-making and other functions, including human resources, finance, insurance, and building maintenance.
o Communicate with tenants and other groups using the church about any issues that may arise.
o Order supplies for the church office, worship services, Sunday school, and other programs as needed.
o Order and maintain office equipment and related services.
· Other duties as assigned.
