Position Summary
Black Knight Patrol Inc. is seeking a professional, organized, and dependable Administrative Assistant to support the daily operations of our corporate office. This position will serve as the first point of contact for visitors, applicants, employees, vendors, and clients, while also providing administrative support to management and the executive team.
The Administrative Assistant will act as the office receptionist and assist with scheduling interviews, coordinating travel arrangements, managing calendars, preparing documents, answering phones, and supporting various administrative needs as assigned. This role requires strong communication skills, attention to detail, discretion, and the ability to work in a fast paced office environment.
Key Responsibilities
Reception and Front Office Support:
- Greet visitors, applicants, clients, vendors, and employees in a professional and welcoming manner.
- Answer incoming phone calls and direct them to the appropriate department or team member.
- Monitor the front office area and help maintain a clean, organized, and professional office environment.
- Receive and distribute mail, packages, documents, and office deliveries.
- Assist applicants and employees with general questions and direct them to the appropriate staff member when needed.
- Maintain a professional image that reflects the standards and values of Black Knight Patrol Inc.
Administrative Support
- Provide general administrative support to management and the executive team.
- Prepare, organize, scan, file, and distribute documents as needed.
- Assist with data entry, record keeping, and maintaining accurate office files.
- Help coordinate internal meetings, appointments, and office activities.
- Draft basic correspondence, memos, notices, and other written communications as assigned.
- Maintain confidentiality when handling employee, client, applicant, and company information.
- Interview and Recruiting Support
- Assist with scheduling interviews for applicants and candidates.
- Communicate with applicants regarding interview times, location details, required documents, and follow up information.
- Help coordinate calendars between applicants, hiring managers, and members of the management team.
- Support the hiring process by helping organize applicant paperwork and related documentation.
- Provide a professional and positive first impression for candidates visiting the office.
Executive and Management Calendar Support
- Assist members of the executive team with calendar management and scheduling.
- Coordinate meetings, calls, appointments, and reminders as requested.
- Help resolve scheduling conflicts and keep management informed of upcoming commitments.
- Assist with preparing materials or documents needed for scheduled meetings.
Travel and Event Coordination
- Assist with booking travel arrangements including flights, hotels, transportation, and related reservations.
- Prepare travel itineraries and ensure management has necessary travel details.
- Help coordinate logistics for company meetings, events, conferences, and business trips.
- Track travel confirmations, receipts, and related documentation as needed.
Office Coordination
- Monitor office supply levels and assist with ordering supplies when needed.
- Help coordinate maintenance requests, office equipment needs, and general office organization.
- Support special projects assigned by management.
- Assist with communication between departments to help ensure smooth daily operations.
- Perform other administrative duties as assigned.
Required Qualifications
- High school diploma or equivalent required.
- Prior administrative, receptionist, office assistant, customer service, or clerical experience preferred.
- Strong verbal and written communication skills.
- Professional appearance and demeanor.
- Ability to answer phones and interact with visitors in a courteous and professional manner.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and changing priorities.
- Basic computer skills including email, calendars, word processing, and office software.
