Summary

On-Site Supply and Inventory Specialist: Candidate will be responsible for managing the routine inventory requirements, including ordering, replenishment and inventory control as well as special parts for the Pump Shop. The On-Site Supply and Inventory Specialist will also maintain all regularly required supplies. Must have a clean DMV record. Monday - Friday, 7:00pm to 3:30pm.

Duties and Responsibilities On-Site Supply and Inventory Control Specialist:

1. Process most outbound shipments and ensure they’re billed to the appropriate customer or department where applicable. Work on getting the inbound shipping integrated or noted into our COGS if the inbound shipping is for stock items used on a daily basis.

2. Research vendors on a continuous basis to ensure timely delivery, highest quality and reasonable cost of all parts.

3. Work with the Pump Shop to organize and maintain parts areas.

4. Order and maintain all parts and supplies required for the pump shop to fulfill our customer’s requirements. All orders require a PO.

5. Create new processes to drive efficiencies in purchasing and inventory management throughout the organization.

a. Process for cycle counts needs to be completed or revised to ensure we have at least one complete cycle count done per calendar year.

6. Manage purchasing and special order business.

7. Build and maintain vendor relationships and ensure that vendor qualifications and capabilities remain current according to Black Gold QMS requirements.

8. Update sales and Pump Shop as to the timing of any order deliveries or delays and the reasons for the delays.

9. Ensure you have a back-up plan in place for vacations or other days you may not be here.

10. Be prompt and reliable.

11. Answer and return all telephone calls on a timely manner.

12. Receive and accomplish daily instructions given by your supervisor.

Accountability:

On-Site Supply and Inventory Specialist will be accountable to the Operations Manager.

Skills and Educational Requirements:

1. High School Diploma a must; College Degree preferred.

2. 3-5 years purchasing and inventory control job related experience preferred, experience in the oil industry is a plus.

3. English speaking a must, Spanish would be helpful.

4. Strong written and verbal communication skills.

5. Proficient with QuickBooks Enterprise or an ERP system, MS Word and MS Excel, as well as web applications.

6. Must be a self-starter and be willing to solve problems independently.

7. Must be highly motivated, organized and able to work in a busy team environment.

8. Clean DMV record.

9. Have never been convicted of any drug or violent related crimes.

Physical and Time Demands:

1. Monday - Friday, 7:00pm to 3:30pm.

2. Be able to work overtime any given day, which may include Saturday and Sunday.

Responsibility Level:

Intermediate - Ensure that customer timing needs are met while ensuring corporate processes are followed.

Authority Level

Authority level is intermediate. The on-site supply and inventory control specialist is authorized to do the following:

1. Take customer special orders.

2. Sign delivery and packing receipts showing proof of delivery or receipt of parts or products.

3. Make purchases of parts and supplies needed to effectively equip the pump shop.

4. Assigned a company credit card for purchases up to $500 (must have a PO for anything related to materials for the Pump shop.) with an expense report due every week/month itemizing those purchases.

5. Use of the company Home Depot card for purchases limited to effectively equip the pump shop up to $500 without approval.

Pay: From $22.50 per hour

Expected hours: No less than 40.0 per week
