We are seeking a highly organized and detail-oriented full-time Client Service Associate to join our team in our Downers Grove office.

Position Overview

The Client Service Associate plays a vital role in supporting day-to-day operations and ensuring an exceptional client experience. This individual will manage a variety of administrative, operational, and service-related responsibilities, contributing to the overall efficiency of the firm.

The role requires professionalism, discretion, strong organizational skills, and the ability to balance multiple priorities in a fast-paced environment. Critical thinking is key—anticipating advisor and client needs, analyzing situations, and providing proactive solutions.

Prior administrative experience, especially in financial services, is preferred. However, we are willing to train the right candidate who demonstrates a strong work ethic, eagerness to learn, and a team-oriented mindset.

Key Responsibilities

Client Service & Communication

  • Serve as the first point of contact for clients, handling inquiries with professionalism and confidentiality.
  • Assist with client account paperwork and service requests.
  • Maintain a high standard of client care, ensuring all interactions are timely and accurate.

Administrative & Operational Support

  • Prepare, organize, and maintain digital client files in compliance with firm and regulatory standards.
  • Process account openings, transfers, and maintenance requests.
  • Monitor and manage data to ensure client information is current, complete, and accurate across all client accounts and platforms.
  • Generate materials and reports as requested by advisors.

Compliance & Recordkeeping

  • Ensure all client communications, transactions, and documentation meet BDP and regulatory compliance standards.
  • Maintain accurate records and assist with internal audits as needed.

Office Support

  • Ensure a professional and welcoming environment for clients.
  • Oversee office supplies and upkeep (including plants).
  • Assist with firm events, client appreciation initiatives, and community outreach activities.

Qualifications

  • 2 years of administrative or client service experience, ideally within financial services (preferred but not required; willing to train the right candidate).
  • Ability to work full-time, Monday through Friday 9am – 5pm in our Downers Grove office.
  • Strong critical thinking and problem-solving abilities; able to anticipate needs and develop proactive solutions.
  • Excellent written and verbal communication skills.
  • Self-motivated, dependable, and able to work both independently and as part of a team.
  • High attention to detail with strong organizational and time management abilities.
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude, eagerness to learn, and collaborative approach to working with colleagues and clients.
  • Proficiency in Microsoft Office Suite and comfort with learning new technologies.
  • Experience with financial services platforms (e.g., LPL ClientWorks, Wealthbox CRM, or similar) is a plus.

Compensation & Benefits

  • Salary commensurate with experience, starting at $45k; highly experienced can exceed $60k.
  • We offer a bonus program after 90 days.
