SUMMARY: The Office Support Associate provides essential administrative and clerical assistance to ensure smooth office operations. This entry-level role supports scheduling, document management, communications, and basic operational tasks for the team.
Hiring & Retention Bonus:

This position includes a hiring bonus upon successful onboarding of $1,000 paid over 4 months and a retention bonus after one year of continuous employment of $2,500 paid over 3 months, as part of our commitment to recognizing and rewarding excellence.
KEY RESPONSIBILITIES:
Administrative Support
- Answer phones, greet visitors, and route inquiries.
- Prepare, edit, and organize documents, spreadsheets, and reports.
- Maintain filing systems (digital and physical).
Scheduling & Coordination
- Assist with meeting scheduling and logistics.
- Coordinate calendars and send reminders.
Data & Records
- Perform data entry and maintain accurate records.
- Support basic reporting and document tracking.
Office Operations
- Order office supplies and manage inventory.
- Assist with mail distribution and shipping.
Team Support
- Provide general assistance to staff and departments.
- Help with onboarding tasks for new hires.
Event Coordination
- Provide logistical support for events, conferences, and community engagement activities.
- Coordinate with external partners, vendors, and stakeholders to ensure successful event execution.
Grant Support
- Support grant reporting by compiling and organizing necessary documentation and data.
Programmatic Support
- Work closely with program teams to track project timelines and deliverables.
- Assist in the preparation of reports, presentations, and program materials.
QUALIFICATIONS:
- Education: High school diploma or equivalent required; Associate’s degree preferred.
- Experience: 0–2 years in an office or administrative role.
- Proficiency in Microsoft 365 (Word, Excel, Outlook).
- Strong organizational and communication skills.
- Attention to detail and ability to multitask.
