Pool Cage Installation Permitting & Lien Coordinator
Position Summary
We are seeking a highly organized and detail-oriented Permitting & Lien Coordinator to oversee the permitting and construction documentation process for residential and commercial pool cage installation projects throughout Florida. This position is responsible for obtaining permits, coordinating with local building departments, preparing lien-related documents, scheduling inspections, and ensuring projects remain compliant from contract through final inspection.
The ideal candidate has experience working with Florida permitting requirements, construction documentation, and multiple municipal jurisdictions in a fast-paced environment.
Essential Duties and Responsibilities
- Prepare, submit, and monitor permit applications for pool cage and screen enclosure installations.
- Coordinate with city and county building departments to obtain permit approvals.
- Review contracts, engineering drawings, site plans, and supporting documentation for permit completeness.
- Track permit status and proactively follow up to prevent project delays.
- Schedule required inspections and maintain inspection records.
- Coordinate with sales representatives, project managers, installers, engineers, customers, and subcontractors throughout each project.
- Prepare and record Notices of Commencement (NOC) when required.
- Prepare and process Notice to Owner (NTO) documents when applicable.
- Prepare, track, and obtain partial and final lien waivers from subcontractors and suppliers.
- Maintain lien documentation and ensure compliance with Florida Construction Lien Law.
- Assist with preparing close-out documentation upon project completion.
- Maintain accurate electronic and paper files for all active projects.
- Keep current with Florida building codes, permitting requirements, and municipal e-permitting systems.
- Provide exceptional customer service by keeping homeowners informed of permit status and project timelines.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum of 2 years of experience in construction permitting, project coordination, or construction administration.
- Working knowledge of Florida permitting procedures and municipal building departments.
- Experience with Florida construction lien documentation, including Notices of Commencement, Notice to Owner documents, and lien waivers.
- Experience in pool cage, aluminum, screen enclosure, roofing, or general construction is preferred.
- Ability to read construction plans and engineering drawings.
- Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Outlook, Excel, Word, and construction management software.
- Strong attention to detail and ability to meet deadlines.
Preferred Qualifications
- Experience using online permitting portals for Florida municipalities.
- Familiarity with engineering approvals and product approval documentation.
- Knowledge of inspection scheduling and project close-out procedures.
- Experience coordinating multiple projects across various Florida counties.
