Studies Office - Administrative Assistant
Bishop O’Connell High School has an immediate opening for an Administrative Assistant in the Studies Office. This is a 12-month, non-exempt, full-time, hourly position with hours from 7:00 AM to 3:00 PM. Under the general supervision of the Dean of Academics, the Studies Office Administrative Assistant is tasked with managing current student data and other clerical functions related to the Studies Office. The typical responsibilities for the job are as follows:
Essential Duties:
- Process quarterly and annual grades
- Create instruction for teachers to complete grading requirements for quarter, semester, and yearly reports
- Assist Academic Dean in the scheduling process
- Provide regular administrative information in easily accessible form
- Prepare for annual Academic Award Ceremony
- Create grid of room availability for Administration use in case of an emergency when a room cannot be used
- Create teacher assignment grid used for looking up teacher’s schedules, free period, lunch and service assignments
- Create a chart for faculty locations for Parent Teacher Conferences
- Assist Dean of Academics, Principal and Communication Director in preparing information for Course Selection Guide
- Work with Counselors in processing student Course Placement Data
- Notify Counselors and students when a course is not being offered
- Work with Dean of Student Affairs and Attendance Manager to enter all necessary calendar and schedule data into PowerSchool
- Provide mechanisms for attendance reporting and data keeping
- Prepare transcripts and demographic data for Naviance system
- Other duties as assigned
