Bischoff Accounting and Tax Services PC is a small, client-focused accounting firm providing tax, bookkeeping, and advisory services to individuals and small businesses. We're looking for an organized, detail-oriented Administrative Assistant to help keep our office running smoothly, especially during busy tax seasons.
Position Summary
The Administrative Assistant provides day-to-day administrative and clerical support to accountants and firm leadership, serving as a key point of contact for clients and helping maintain efficient office operations.
Key Responsibilities
- Answer and direct phone calls, emails, and client inquiries professionally
- Greet clients and visitors, and schedule/manage appointments
- Coordinate meetings, deadlines, and calendars for accountants and partners
- Prepare, organize, and file client documents, tax returns, and financial records (physical and digital)
- Maintain confidentiality of sensitive financial and personal client information
- Assist with data entry into accounting/tax software (e.g., QuickBooks, Drake, Lacerte, or similar)
- Prepare correspondence, engagement letters, and invoices
- Manage office supplies, mail, and vendor coordination
- Support billing processes, including tracking invoices and following up on payments
- Assist with onboarding new clients (collecting documents, setting up files)
- Help prepare for tax season crunch times (extra filing support, document collection, client reminders)
- Other administrative duties as assigned
Qualifications
- High school diploma required
- 1 years administrative experience (accounting/professional services office a plus)
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general comfort with office software
- Familiarity with accounting or tax software is a plus but not required (training provided)
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to handle confidential information with discretion
- Comfortable managing multiple priorities, especially during seasonal deadlines (Jan–Apr)
Preferred Skills
- Prior experience in a CPA firm, tax office, or financial services setting
- Experience with client-facing communication
- Basic understanding of bookkeeping or financial terminology
