We are seeking a proactive and detail-oriented professional to support daily business operations and help improve efficiency across multiple functions.

Position Summary

This role will support the day-to-day administrative and operational needs of the business, with responsibilities spanning vendor coordination, financial administration, logistics, process support, and executive assistance. The ideal candidate is highly organized, resourceful, and capable of managing multiple priorities while maintaining strong attention to detail.

Key Responsibilities

Administrative & Financial Support

  • Manage invoicing, estimates, payment follow-up, and account tracking
  • Assist with expense tracking, bookkeeping coordination, and general financial administration
  • Maintain organized business records, internal documents, and operational forms
  • Support leadership with reporting, summaries, and general administrative tasks

Operations & Vendor Coordination

  • Coordinate with domestic and international vendors to support production and delivery timelines
  • Assist with quote requests, pricing follow-up, and vendor communication
  • Help manage logistics, packaging, labeling, and shipment coordination
  • Track vendor performance, maintain records, and help resolve day-to-day operational issues
  • Identify opportunities to improve workflows and support operational efficiency

Marketing & Business Support

  • Assist with social media coordination and online presence
  • Support marketing initiatives, promotional materials, and lead tracking
  • Help maintain consistency in external communications and business materials

Executive Support

  • Assist with scheduling, meeting coordination, and communications for company leadership
  • Prepare updates, reports, and internal documents as needed
  • Handle sensitive information with professionalism and discretion
  • Provide general support across business functions in a fast-moving environment

Qualifications

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Experience with invoicing, expense tracking, and administrative support
  • Familiarity with vendor coordination, logistics, or operations support preferred
  • Proficiency with QuickBooks, Google Workspace, and Microsoft Office
  • Ability to work independently, stay organized, and manage shifting priorities
  • Proactive mindset with strong problem-solving skills and attention to detail

Preferred Background

  • Experience in operations, administration, office management, project coordination, or executive support
  • Comfortable wearing multiple hats in a growing business environment
  • Experience supporting small businesses, founder-led companies, or fast-paced teams is a plus

Salary : $55,000 - $65,000
