Office Manager – Real Estate Law Firm
A busy real estate law office is seeking a professional, organized, and bilingual Office Manager to oversee daily office operations and support the firm’s attorneys, staff, clients, and vendors. This role is ideal for someone who is detail-oriented, polished, proactive, and comfortable working in a fast-paced legal environment.
The Office Manager will serve as the central point of contact for the office and will help ensure that administrative processes, client communication, scheduling, billing support, and office procedures run smoothly. Fluency in both English and Spanish is required.
Responsibilities
• Oversee day-to-day office operations and ensure the office runs efficiently
• Serve as a main point of contact for clients, attorneys, vendors, and staff
• Communicate with clients in both English and Spanish in a professional and courteous manner
• Manage calendars, appointments, deadlines, meetings, and office scheduling
• Support attorneys and legal staff with administrative tasks related to real estate transactions and general office needs
• Assist with opening and maintaining client files, organizing documents, and tracking matter status
• Coordinate with title companies, lenders, realtors, clients, vendors, and outside parties as needed
• Help maintain office policies, procedures, systems, and workflow improvements
• Handle incoming calls, emails, mail, and general correspondence
• Assist with billing, invoicing, payment tracking, deposits, and basic bookkeeping-related tasks as needed
• Order supplies, manage vendors, and maintain a professional office environment
• Help onboard and train administrative staff when needed
• Ensure confidentiality and professionalism in all client and firm matters
Qualifications
• Bilingual in English and Spanish required
• Prior office management, administrative management, or legal office experience preferred
• Real estate law, title, mortgage, or closing experience is a strong plus
• Strong organizational, communication, and follow-up skills
• Ability to manage multiple priorities and deadlines at once
• Professional demeanor and strong client service skills
• Comfortable speaking with clients, attorneys, vendors, realtors, lenders, and title companies
• Strong attention to detail and ability to work independently
• Proficiency with Microsoft Office, email, calendars, and general office technology
• Experience with legal software, billing systems, or case management platforms is a plus
