Position Overview
We are seeking a sharp, organized, and tech-savvy Administrative Assistant to keep our front office and daily operations running like a well-oiled machine. In this role, you won't just be answering phones — you will be the operational backbone of our team, handling everything from inventory tracking and bookkeeping inputs to vendor coordination and freight scheduling.

Key Responsibilities
- Financial Data Entry: Manage daily bookkeeping tasks in QuickBooks, including processing invoices, tracking accounts payable/receivable, and reconciling receipts.
- Spreadsheet Management: Utilize advanced Excel functions to maintain inventory logs, track production metrics, and generate weekly operational reports.
- Office Administration: Act as the primary point of contact for incoming calls, mail, and email correspondence using Office 365 (Outlook, Word, Teams).
- Logistics & Vendor Support: Assist with scheduling inbound raw materials and outbound freight shipments, ensuring paperwork (bills of lading, packing slips) is meticulous and organized.
- Document Control: Maintain digital and physical filing systems for compliance, vendor contracts, and safety records.
Qualifications & Skills
- Software Proficiency (Required):
- QuickBooks: Minimum 2 years of experience with data entry, invoicing, and basic reporting.
- Microsoft Excel: Intermediate to advanced skills (must be comfortable with formulas, data sorting, conditional formatting, and VLOOKUPs/XLOOKUPs).
- Office 365: Full familiarity with Outlook, Word, and cloud-based file sharing (OneDrive/SharePoint).
- Experience: 2 years in an administrative support, bookkeeping, or office management role (experience in a manufacturing, logistics, or agricultural supply environment is a major plus).
- Traits: A self-starter mindset, exceptional organizational skills, and the ability to maintain accuracy in a fast-paced environment.
