Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping
- Coordinate calendar management and scheduling for executives or team members, ensuring timely appointments and meetings
- Maintain organized filing systems—both digital and paper—to support efficient document retrieval and compliance
- Provide excellent customer service by responding promptly to inquiries via phone, email, or in person, demonstrating strong phone etiquette and customer support skills
- Assist with office management duties such as ordering supplies, managing office equipment, and overseeing general administrative tasks
- Proofread documents for accuracy, clarity, and professionalism while supporting clerical tasks like copying, scanning, and mailing
Experience
- Prior office experience or administrative experience is essential; familiarity with front desk operations is highly valued
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and productivity software is required
- Experience with QuickBooks or bookkeeping tools is a plus for handling financial records
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
