Job Description:
Biopharma Informatic is seeking a highly organized and detail-oriented Human Resources Assistant to support day-to-day HR operations across multiple sites. This role provides administrative, operational, and communication support to the Human Resources Manager and the HR department. It is ideal for a recent graduate or early-career professional with strong organizational, communication, and technology skills who can thrive in a fast-paced environment. Compensation for this role ranges from $18 to $22 per hour, depending on experience.
Key Responsibilities
Administrative & Department Support
· Provide daily administrative support including scheduling, follow-ups, and calendar management.
· Organize HR activities, timelines, and deliverables to ensure workflow efficiency.
· Draft, edit, and proofread HR correspondence and internal communications.
Employee & Staff Support
· Serve as a point of contact for employee inquiries and escalate issues when needed.
· Prepare and send weekly payroll announcements and routine internal communications.
· Assist with coordination and setup of company meetings and employee events.
Training & Compliance Coordination
· Schedule and coordinate Basic Life Support (BLS) training sessions.
· Manage and track companywide HIPAA training completion.
· Serve as administrator for HR and training platforms; coordinate with vendors for troubleshooting.
Digital File & Document Management
· Maintain organized and up-to-date digital HR filing systems.
· Ensure proper storage of onboarding documents, offer letters, and performance reviews.
· Support confidentiality and compliance with HR record-keeping standards.
Data Entry & Excel Tracking
· Create and maintain spreadsheet trackers for recruiting pipelines, referrals, interviews, and candidate statuses.
· Track performance review due dates and notify the HR Manager.
· Maintain accurate logs, data, and digital records.
Technology & Systems
· Use Microsoft Excel, Outlook, Word, and Teams daily.
· Manage and update CRM and HR platforms for payroll, training, and employee tracking.
· Learn new systems quickly and troubleshoot platform-related issues.
Qualifications
· Recent college graduate or 1–2 years of administrative/support experience (HR experience a plus).
· Strong proficiency in Microsoft Excel, spreadsheets, and data entry.
· Proficiency with Microsoft Outlook for email and calendar management.
· Excellent written and verbal communication skills.
· Highly organized with strong attention to detail.
· Comfortable learning and navigating new technologies and systems.
· Ability to maintain confidentiality and handle sensitive information appropriately.
· Strong time-management skills with the ability to prioritize multiple tasks.
