Purchasing Associate

ROLE OVERVIEW

Reporting to the Technical Customer Service Manager, the Purchasing Associate at BioLabs in Cambridge, MA, will be responsible for verifying, preparing, and procuring all lab supplies and equipment for the company and its resident companies. This is a hands-on role suited for a highly capable, self-motivated individual who can work independently and demonstrates a high degree of autonomy.

RESPONSIBILITIES

• Place, monitor, and expedite high volumes of orders daily while offering exceptional customer service.
• Set up new accounts with vendors and maintain master vendor list.
• Clarify unclear items and recommend alternatives if appropriate.
• Work with Lab Managers to verify all items requested are on the approved chemical and supply list.
• Work with Finance to secure appropriate purchase orders, process payments and ensure audit compliance documentation is in place.
• Work with existing Procurement Team on finding and securing discounts for our lab supplies.
• Respond to requests for order confirmations and tracking.
• Resolve shipments in error with suppliers and arrange returns.
• Keep information accessible by sorting and filing all documents.
• Update job knowledge by participating in educational opportunities.
• Other duties as requested. 

QUALIFICATIONS

• Minimum of three (3) years of experience in purchasing and receiving.
• Bachelor’s degree required.
• Strong knowledge of industry and market conditions preferred.
• Proficient in Microsoft Office applications; experience with e-procurement systems (e.g., Jaggaer) and familiarity with NetSuite and QuickBooks preferred.
• Outstanding organizational skills with the ability to prioritize multiple tasks and projects.
• Customer service-oriented, with a strong work ethic and a positive, optimistic attitude.
• Detail-oriented with a focus on quality control and a commitment to excellence.
• Personable and articulate, with excellent written and verbal communication skills.
• Strong desire to work in a collaborative, team-focused environment.
• Availability to attend occasional off-hour events.
