About the Role
Biocom Institute is seeking a Fellowship Coordinator to support the implementation and delivery of the Life Science Career Fellowship across the Greater Los Angeles and Bay Area regions. This is a contract-based role aligned with a full grant cycle (February 2026 through September 2027), with compensation structured around deliverables rather than hourly work.
The Fellowship Coordinator will play a key role in coordinating program operations, supporting participants, and ensuring successful execution of program milestones. This role is ideal for someone who is highly organized, detail-oriented, and passionate about workforce development and expanding access to careers in life sciences.
Scope of Work
This role will support two six-month fellowship cohorts and is responsible for program coordination, stakeholder engagement, event execution, and reporting aligned with grant requirements.
Key Responsibilities
- Coordinate planning and implementation of fellowship cohorts from recruitment through completion
- Manage application processes, onboarding materials, and participant communications
- Serve as the primary point of contact for fellows and monitor engagement and attendance
- Track program participation and maintain accurate documentation and reporting
- Coordinate outreach, onboarding, and orientation for program participants
- Develop and manage the full six-month program schedule
- Coordinate key program components including events and online trainings
- Support logistics and event execution for fellowship events across both regions
- Track program metrics, collect and analyze program data and qualitative feedback
- Support development of reports and visual summaries for grant deliverables
- Assist with tracking program-related expenses and documentation
- Support grant-related reporting and invoicing processes
- Participate in internal check-ins and stakeholder meetings to provide updates on program progress
Qualifications
- Bachelor’s degree in a related field (e.g., education, public administration, workforce development, life sciences, or event/hospitality management), or equivalent combination of education and relevant work experience
- 3–5 years of professional experience in program coordination, workforce development, education programs, nonprofit programming, or a related field
- Strong organizational and project management skills with ability to manage multiple timelines with strong attention to detail and follow-through
- Excellent communication skills and ability to engage diverse stakeholders
- Experience supporting events, workshops, or cohort-based programs preferred
- Comfort with data tracking, reporting, and administrative systems
- Ability to work independently and manage deliverable-based expectations
- Proficiency with administrative and program management tools such as CRM systems, spreadsheets, and virtual platforms (e.g., Zoom, Microsoft Suite, Salesforce or similar tools preferred)
- Experience supporting grant-funded programs, including reporting and compliance requirements
- Familiarity with mentorship programs or talent development initiatives targeting early-career professionals or underrepresented populations
Compensation
This is a contract role with compensation structured on a deliverable basis for the duration of the grant cycle. Specific payment terms and milestones will be outlined in the contractor agreement.
Work Structure
Hybrid with required in-person support for key events (approximately three events per year across Greater LA and Bay Area regions). The ideal candidate will be based out of the San Francisco Bay Area region.
