What are the responsibilities and job description for the Archives Assistant - Flex position at Biltmore Estate?
Flex: a position working between 20-29 hours per week (between 1000 - 1559 hours/year). The starting pay range for this position begins at $18.25/hour and is based on the level of qualifications and relevant experience above the minimum requirements.
The Archives Assistant is responsible for processing archival records under the direction of the Archivist and Associate Archivist. The position will also provide support and assistance to the Archivist and Associate Archivist with research, preservation, and inventory work in the Archives.
Schedule can vary, but is generally M-F 8:00am - 5:00pm. Please note that a resume and cover letter are required to be considered for this position.
Essential Job Duties:
1. Follow established guidelines for processing archival materials, including books, photographs, drawings, manuscripts, and oral histories, using the database Re:Discovery Proficio.
2. Create inventories and container lists.
3. Assist with scanning and rehousing archival materials.
4. Assist with preservation efforts and initiatives in the Archives.
5. Support Archives staff as needed.
Independent Decision Making:
1. This position will assist with processing archival records, requiring evaluation and decision-making for cataloging and metadata capture.
2. This position will assist with responding to archival reference queries, conducting research and conveying information clearly in writing and over the phone.
3. This position will work on several projects and will need to manage priorities, meet deadlines, and be flexible with changes in workflow.
Qualifications:
1. Four-year degree required. Additional education, training, and/or certification(s) related to information science and/or archival and library fields is preferred.
2. Minimum one (1) year of experience in an archive or library performing technical support services required. An equivalent combination of education/internships/work experience would be considered.
3. Prefer knowledge of or experience in a business archive, and practical experience in archival processing, reference and research, and working with fragile historical items.
4. Familiarity with controlled vocabularies, current cataloging and metadata standards, and collection management software preferred.
5. Must have excellent organizational and time management skills; the ability to prioritize work and adapt as needed; and a keen attention to detail with a focus on quality.
6. Must be proficient with Microsoft applications, including Word, Excel, and Outlook; and have the ability to quickly learn and follow Biltmore systems, protocols, history, and processes.
7. Must be comfortable working independently and collaboratively within a strong team setting.
Physical Requirements:
1. Must be able to climb stairs, ladders, and scaffolding; must be able to navigate areas with low light, uneven floor surfaces, or in proximity to collection objects.
2. Must be able to lift up to 35 pounds with proper assistance.
3. The incumbent will work primarily in an office environment. 90% of the incumbent’s time will be spent in a climate controlled space in cool temperatures with low relative humidity.
