- Adhere to the Sample Coordinator Timeline (to be provided) which will outline key duties and deadlines for various projects ranging from sample prep to shipping and receiving samples.
- Receive, unbox, check in, and organize all samples and prototypes arriving from factories or the Production team, storing in the appropriate locations along with the rest of their collections.
- Pull sample requests for Design, Production, Tech, and/or Marketing teams, ensuring samples are returned to you or placed in a specified location so that you can return to their homes.
- Ensure the sample closet and all sample areas at the office remain organized, streamlined, neat, and secure throughout the duration of your role, making sure all samples that are returned to or received at the office are placed in their appropriate locations.
- Pull and organize samples in preparation for S27 FLR Meetings, referencing spreadsheets provided by Madison/Carlisle ahead of Madison’s arrival in Florence; Arrange racks and helping set everything up at the office the week prior to the meetings.
- Ship samples out to wholesale team during market and receive and check them back in (including late samples).
- Pull, pack and ship sample shipments for various photo shoots (flats, on model, campaign, ecom, etc.) with guidance from Carlisle’s timeline, Madison, Larry, and the Marketing team.
- Using effective time management to meet delivery deadlines for upcoming photoshoots, ensuring you have ample time to pack and ship samples and making sure they arrive in time for scheduled shoots.
- Referencing the shot lists you’ll be provided, locate requested samples at the office and confirm they are available for upcoming shoots.
- Communicating with the Marketing team and freelance Production Coordinator (Rebecca) to provide tracking numbers and confirm that sample shipments will arrive in time for scheduled shoots. Following up on return shipments and ensuring that samples are returned to the office in a timely manner post-shoot.
- Check samples back in that are returned from shoots and organize in their designated locations at the office.
- Pull samples and organize on racks for NuOrder wholesale photoshoot at the office; be on-site for support as needed (date to be confirmed).
- Assist with other projects as assigned.
- Understanding of and adherence to Sample Timeline that Carlisle will provide during your training.
- Fulfill Marketing/PR requests - pull samples from HQ or coordinate with the warehouse to pull from production. All samples/product shipped should be tracked via an inventory log (out when shipped and in when returned)
Physical Requirements:
- This position requires the ability to perform essential job functions that include lifting and moving items weighing up to 50 pounds. The role also requires the ability to climb stairs and safely transport product between floors, as shipments are received on a different level than the primary work area.

- High proficiency of Google Workspace (particularly Google Drive, Sheets, Docs, and Slides) and Microsoft Office (particularly Excel and PowerPoint).
- 1-2 years experience in a fashion product role and/or degree in Fashion Merchandising
- Ability to work under deadlines, manage multiple priorities, work independently, take initiative, pay close attention to detail, and follow projects through to completion.
- Highly organized and detail-oriented.
- Excellent verbal, written communication and presentation skills.
