Part Time Concierge/ Admin Assistant

Billings Place is a new 5 story apartment building located in the heart of downtown Royal Oak, within walking distance of multiple restaurants, entertainment, and bars. The building includes an indoor heated parking garage, balconies, amenity spaces and more. We are looking for a part time leasing agent/admin assistant to assist the property manager in maintaining the beautiful building and its occupancy.

We are a small team made up of four other members: Team Manager, Property Manager, part time Admin Assistant, and a Maintenance Tech. As we grow to manage other properties, we are looking for another teammate who is willing to learn our process and procedure while maintaining the beautiful community called Billings Place here in Royal Oak.

This position is flexible in that it requires approx._ 25 to 30 hours a week_. You along with your team will create the monthly staffing calendar and decide which work days are best for you to work.

Saturdays are very important for us to be available for residents and prospective residents. You will be required to work 2 Saturdays a month.

The responsibilities are as follows:

Daily Responsibilities:

  • Answering internal/external phone calls promptly and professionally, gathering information, answering questions or requests, and/or channeling to the appropriate destination
  • Providing administrative and clerical support to property management team and ownership
  • Checking system for incoming calls and texts. Responding to all messages left.
  • Greeting visitors, residents and staff in a welcoming, professional manner
  • Scheduling tours. Confirming tours with prospects the day prior via text
  • Logging packages into computer system and sending texts to residents
  • Logging maintenance requests/ work orders into our software system. Maintaining work order list, updating status as needed.
  • Immediately record all telephone and in-person visits on appropriate reports
  • Overseeing contractors and repairmen inside resident apartments
  • Keeping front desk area organized/clean and providing light housekeeping duties
  • Assistant to property manager
  • Property tours
  • Assisting in supervising resident move ins/move outs
  • Opening office each day to include: refilling coffee supplies and keeping coffee area clean, maintaining coffee pots, re-filling diffusers
  • Ordering office/janitorial/maintenance supplies and processing returns as needed/requested
  • Preparing and delivering resident birthday cards
  • Other duties as assigned

Abilities

  • Ability to learn quickly
  • Proficient with google suite (sheets, docs, Gmail, drive) This is Google’s version of Microsoft word, excel, and mail.
  • Willing to learn
  • Positive uplifting attitude
  • Ability to lift packages up to 20 pounds
  • Strong team player

Job Description/Requirements

  • Valid driver license
  • Must past background check
  • Part Time- 25 - 30 hours per week, flexible
  • Weekends when required, minimum 2 Saturdays per month (Coordinated with other team members at start of month)
  • Business casual attire required

$17/hr
