Dental Practice Administrator

Chapel Hill Advanced Dentistry

Compensation: $70,000 – $80,000 / year Team-Based Performance Bonuses

Hours: Monday – Thursday, 7:00 AM – 3:00 PM (Excellent Work-Life Balance!)

independent. As our Practice Administrator, you won’t just be managing tasks; you will be a

strategic partner to the owner, helping us protect our independent legacy and ensure our team

and patients thrive.

Your Autonomy & Authority

This is a true leadership role with high trust and autonomy. You will collaborate directly with the

owner to understand the vision, direction, and philosophy of the practice, and then build the

systems to achieve it.

● Full authority over hiring, firing, managing, scheduling, and disciplining the team.

● Full transparency and access to the practice’s financials and HR data.

● You sit between the Owner and the clinical team, driving the business forward.


Your First 12 Months of Impact

We provide a clear, structured onboarding path so you are set up for success:

● Months 1–2 (Learn & Observe): Immerse yourself in our culture, software, and

nuances while working with the front desk and the owner.

● Months 3–4 (People & Systems): Spend time with each team member to understand

their roles, daily/weekly/monthly SOPs, and optimize systems for team happiness and

ownership.

● Months 5–6 (Patient Experience): Analyze and elevate the patient journey from the

first phone call to treatment completion.

● Months 7–12 (Strategic Optimization): Dive into income streams, procedures, and

scheduling to optimize productivity and practice growth.


Core Responsibilities

While you will operate as a high-level & floating & director —and not as a daily fill-in for the front desk or clinical assistants —your operational duties include:


Daily & Weekly Operations

● Morning Huddles & Tracking: Reviewing schedules, guiding morning huddles, and

monitoring vital practice trends.

● Financial Upkeep: Entering data into QuickBooks, reviewing bank accounts,

processing bills (Tuesdays/Thursdays), and tracking AR.

● Team & Schedule Flow: Hourly walk-throughs to ensure the schedule is running

smoothly and resolving any patient or HR issues.

● Weekly Reporting: Tracking production vs. collections, team hours/PTO, and

equipment or facility updates.


Monthly & Systems Overhaul

● Compliance & Manuals: Keeping OSHA, HIPAA, and office manuals updated by

collaborating with the team.

● Owner Reporting: Presenting monthly financial health, team bonuses, performance

reviews, and account reconciliations.
