About the Role
Big Tent Commercial Real Estate, led by Todd Prevost, is seeking a high-energy, detail-oriented Brokerage Coordinator. This is a pivotal role designed to be the "glue" of our team—bridging the gap between data analysis, marketing execution, and administrative excellence. You will serve as the internal lead for market intelligence while ensuring our brokers are equipped to win and our clients feel prioritized.
Key Responsibilities
1. Market Intelligence & Data Management
- Research Leadership: Act as the internal expert on market data, quarterly reports, and comparable sales (comps).
- Platform Management: Master tools like CoStar, Crexi, and LoopNet to analyze trends and maintain active online listings.
- CRM & Database Oversight: Manage CRM administration, ensuring data accuracy for property owner lists and tasking brokers with specific outreach goals.
- Reporting: Attend quarterly research meetings and translate complex market insights into actionable briefs for the team.
2. Marketing & Business Development
- Collateral Production: Collaborate with brokers to create high-impact Marketing Brochures, Offering Memorandums, and Proposals/LOIs.
- Campaign Execution: Lead multi-channel outreach including Mailers, Broker Blasts, social media updates, and website management.
- Vendor Coordination: Manage external partners (dronework, videography, graphic designers) to ensure premium marketing assets.
- Direct Outreach Prep: Prepare brokers for cold calling and canvassing efforts to drive new business.
3. Client & Investor Relations
- Communication Liaison: Act as the primary point of contact between brokers and investors to ensure seamless transaction flows and deadline tracking.
- Nurture Programs: Manage long-term client relationships through "touchpoint" planning, including closing gifts, birthdays, and seasonal deliveries.
- Reporting: Prepare and distribute "Weekly Bullets" to keep investment partners informed on market activity and portfolio updates.
4. Operations & Office Administration
- Leadership: Lead structured L10 meetings and oversee the daily tasks of interns.
- Office Management: Oversee vendors (M365, QuickBooks, etc.), manage office supplies/snacks, and maintain the physical office space.
- Principal Support: Assist Todd and Kate Prevost with travel planning, document delivery, and personal administrative tasks as needed.
- Rental Management: Assist with rent roll monitoring, coordinating tours, and gathering candidate feedback for managed properties.
Qualifications
- Experience: Previous experience in Real Estate, Marketing, or High-Level Administration preferred.
- Technical Skills: Proficiency in CRM software and M365 suite; familiarity with CoStar, LoopNet, or QuickBooks is a major plus.
- Communication: Exceptional written and verbal communication skills with a "client-first" mentality.
- Organization: A "deadlines-matter" mindset with the ability to manage the full deal transaction cycle.
- Reliability: This is an in-person position in Nashville; candidates must have reliable transportation for local errands.
