Job Summary:
The Maintenance Administrator Manager is responsible for overseeing and coordinating all administrative functions related to the maintenance of a commercial trucking fleet. This role ensures maintenance records are accurate and up to date, schedules preventive maintenance and repairs, and supports the maintenance department with compliance, vendor coordination, and reporting.
Key Responsibilities:
- Track preventive maintenance, inspections, and repairs for the fleet.
- Maintain accurate records of maintenance activities, work orders, service histories, and costs.
- Coordinate with vendors, suppliers, and repair shops to ensure timely and cost-effective service.
- Monitor vehicle statuses using fleet management systems (e.g., Geotab, Samsara, or similar).
- Assist with DOT compliance by maintaining proper documentation for inspections and repairs.
- Track and order parts and supplies as needed.
- Generate and distribute maintenance reports to management.
- Monitor warranty claims and manage repairs under warranty terms.
- Support the maintenance team with administrative tasks including invoice reconciliation, data entry, and documentation.
- Ensure that maintenance documentation meets regulatory standards and internal policies.
Qualifications:
- Previous Truck Leasing Experience preferred.
- High school diploma or GED required; associate’s or bachelor’s degree preferred.
- 2 years of administrative experience in a fleet, trucking, or maintenance environment.
- Knowledge of DOT regulations and FMCSA standards preferred.
- Proficiency with maintenance or fleet management software
- Strong organizational and communication skills.
- Detail-oriented with the ability to multitask and prioritize.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
Working Conditions:
- Office environment within a trucking terminal or fleet maintenance facility.
- May occasionally visit shop or yard areas.
- Standard business hours with occasional need for extended hours based on fleet demands.
