We’re looking for an experienced, highly organized Operations Coordinator to become a key part of our team.
This is not a traditional administrative role.
This position serves as the operational hub of our office—supporting customer quoting, purchasing, inventory coordination, accounts payable/receivable, vendor communication, and day-to-day business operations.
The ideal candidate is professional, detail-oriented, financially organized, and confident communicating with both customers and vendors. You thrive in a role where no two days look exactly the same and where your work directly impacts the success of the business.

Key ResponsibilitiesCustomer Quoting & Sales Support
- Prepare customer quotes based on specifications, materials, and production requirements
- Review customer drawings and technical specifications (blueprint reading experience is a plus)
- Communicate with customers regarding pricing, timelines, and order updates
- Coordinate with internal production teams to ensure accurate quoting
Procurement & Vendor Management
- Purchase raw materials, tooling, and operational supplies
- Maintain vendor relationships
- Track purchase orders and deliveries
- Source materials and negotiate pricing when appropriate
Accounts Payable & Accounts Receivable
- Process vendor invoices
- Manage bill payments and payment schedules
- Generate customer invoices
- Track receivables and assist with collections follow-up
- Maintain accurate financial records
Inventory Coordination
- Monitor inventory levels
- Help prevent shortages and over-ordering
- Coordinate material needs with production teams
Office Operations
- Maintain organized systems and documentation
- Support leadership with operational coordination
- Identify opportunities to improve efficiency and organization
QualificationsRequired:
✔ QuickBooks experience (required)
✔ Strong bookkeeping/accounting experience
✔ Excellent written and verbal communication skills
