Administrative Assistant – Counseling Practice (Big Rapids)
We are a small, welcoming counseling practice in Big Rapids looking for a dependable Administrative Assistant to work in our office who enjoys working with people and being part of a supportive team. This role is a great fit for someone who is friendly, organized, detail-oriented, and comfortable juggling a variety of tasks in a calm, professional manner.

What You’ll Do
- Greet clients warmly and collect copays
- Answer and respond to phone calls, texts, emails, and faxes
- Communicate with therapists about scheduling or client-related needs
- Schedule and reschedule appointments
- Set up new clients in our electronic health record (SimplePractice)
- Provide and assist with intake paperwork when needed
- Verify insurance benefits and update records
- Submit insurance claims and investigate denied claims
- Process monthly reports
- Create and mail no-show or late-cancellation letters
- Create, update, and organize office forms and documents
- Maintain and update client charts, scan documents into records
- Restock snacks, drinks, and office supplies
- Help keep the office tidy and welcoming
- Assist with other tasks as needed (printing, organizing, laminating, etc.)

- High school diploma or GED
Preferred (but not required)
- Associate’s degree or two years of college
- Basic understanding of health insurance and insurance claims
- Familiarity with coordination of benefits
- Two years of experience working in a healthcare practice
- Knowledge of HIPAA
- Ability to communicate in Spanish
Pay & Schedule
- Starting pay: $20 per hour (with pay increases as responsibilities are mastered)
- Part-time – 20 hours per week
- Payroll is processed weekly
- Tentative starting schedule: Monday–Thursday, 2:30 pm–7:30 pm
- No work on weekends or major holidays
- One week of paid vacation after 6 months
