About the Role

Big Fish Cooling & Heating is looking for a dependable, organized, and customer-focused HVAC Dispatcher to join our team. The Dispatcher is responsible for coordinating daily service calls, communicating with customers and technicians, and keeping the schedule running efficiently.

The ideal candidate is calm under pressure, communicates well, pays close attention to detail, and can balance multiple priorities in a fast-paced HVAC environment.

Key Responsibilities

• Dispatch HVAC technicians to residential and commercial service calls based on location, skill set, urgency, and availability.
• Maintain and manage the daily technician schedule.
• Communicate appointment times and updates clearly with customers.
• Monitor technician locations, job progress, and estimated arrival times.
• Communicate with technicians throughout the day regarding service calls, parts, job details, and scheduling changes.
• Handle emergency and priority service requests appropriately.
• Reschedule appointments when necessary while minimizing disruptions to customers and technicians.
• Follow up with customers regarding appointment confirmations, delays, and service updates.
• Accurately enter customer information, job details, notes, and scheduling information into the company's software.
• Coordinate return visits when parts, additional labor, or follow-up service is required.
• Work closely with management and technicians to maximize efficiency and productivity.
• Maintain a professional and positive attitude when dealing with customers, technicians, and coworkers.
• Help ensure customers receive a high level of service from the initial phone call through completion of the job.

Qualifications

• Previous dispatching, scheduling, customer service, or HVAC industry experience preferred.
• HVAC industry knowledge is a plus but not necessarily required.
• Excellent verbal and written communication skills.
• Strong organizational and time-management abilities.
• Ability to multitask and prioritize in a fast-paced environment.
• Comfortable working with computers, scheduling software, phones, and other office technology.
• Strong problem-solving and decision-making skills.
• Ability to remain calm and professional during busy periods or difficult customer situations.
• Dependable, punctual, and team-oriented.
• Strong attention to detail.
• Ability to work effectively with field technicians and office staff.
