Job Summary
We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations within our office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional customer service to clients and visitors. The Office Assistant will play a vital role in maintaining an efficient office workflow, ensuring accuracy in data entry, filing, and document proofreading. This position offers an opportunity to contribute to a professional team while developing valuable administrative skills.

Responsibilities

  • Answer multi-line phone systems promptly and courteously, providing excellent customer support
  • Manage calendar scheduling and appointment setting for staff or clients
  • Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
  • Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents
  • Assist with bookkeeping activities
  • Support office management tasks including supply inventory, document proofreading, and record keeping
  • Provide administrative support such as typing correspondence, proofreading documents, and managing emails
  • Handle customer inquiries via phone or email with appropriate phone etiquette
  • Support personal assistant duties as needed, including calendar management and task prioritization

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer literacy and data entry skills with high accuracy levels
  • Strong customer service orientation with effective communication skills; bilingual ability is a plus
  • Ability to manage time efficiently in a fast-paced environment
  • Demonstrated professionalism in handling confidential information and maintaining discretion

Job Type: Part-time

Pay: $10.00 - $14.00 per hour

Expected hours: 20 per week
