Big-D Construction, has an opportunity for a Project Controls Specialist to join our Mission Critical team based in Salt Lake City, UT.
Experience/Training:
- Four years of construction, project coordination, or administrative experience.
Job Duties, Responsibilities and Expectations (other duties may be assigned to meet business needs)
Project Controls & Compliance
- Support contract administration in coordination with Preconstruction and Project Management, including preparation and issuance of subcontracts, purchase orders, and related project documents
- Track and manage subcontractor and vendor compliance requirements, including insurance, licensing, bonds, and other contractual obligations
- Support preparation and review of owner pay applications, subcontractor billings, schedule of values, and related backup documentation
- Assist with accounts payable and accounts receivable processes, including tracking purchase orders, invoices, and payment status
- Support development, tracking, and consistency of change management documentation, including PCOs, CORs, owner change orders, and subcontract change orders
- Help maintain alignment between cost codes, commitments, change orders, and project financial reporting
- Track and manage contractual notice requirements, lien notices, lien releases, and other project compliance documentation
- Partner with Preconstruction to review contract requirements, billing provisions, insurance requirements, bond obligations, and project setup needs
- Support preparation of owner reports, executive summaries, risk logs, and other project-specific reporting requirements
- Help ensure consistency and compliance across project controls processes, documentation, and reporting standards
Project Support & Administration
- Assist with project startup and closeout activities, including setup of project files, document control systems, turnover packages, and O&M manuals
- Maintain organized project filing systems, both digital and hard copy, for contracts, drawings, submittals, RFIs, meeting minutes, change orders, and other project records
- Prepare, organize, and distribute project documentation utilizing Procore and other company systems
- Support timely completion and submission of contracts, bids, permits, development applications, and other project-related documentation
- Participate in project meetings, take and distribute meeting minutes, and track follow-up items
- Assist project teams with expense reports, timecards, travel requests, office supply needs, and other administrative functions
- Coordinate distribution of project information to clients, subcontractors, vendors, consultants, and internal team members
- Maintain professional communication with clients, subcontractors, vendors, and internal teams
- Support training and onboarding of Project Administrators, Project Managers, and other team members on company processes, systems, and documentation standards
- Support and follow company policies, procedures, and project standards
Leadership Duties
- Meetings: Facilitate project meetings and/or interactive planning meetings as required by the project team.
- Training: Provides training and oversight to team members.
- Audits: Conducts routine audits of project controls and compliance.
- Process development: Provides input on standards, templates, processes, and procedures.
- Collaboration: Collaborate with internal team members, trade partners, and clients.
Qualifications:
- Three or more years of construction, project coordination, or administrative experience.
- Proficient in Microsoft Office Suite and Procore.
- Ability to manage and prioritize multiple tasks and competing deadlines across several projects and managers.
- Ability to communicate effectively with project managers, team members, and external stakeholders.
- Strong organizational skills with the ability to manage multiple tasks timely and prioritize effectively, including managing priorities of multiple managers.
- An eagerness to teach and develop others.
- Work well in a team environment, drive consistency and collaboration, approach challenges with a solutions-oriented mindset.
