Job Title: Administrative Assistant – Donation Center
Job Type: Full-time, weekends may be required

Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to manage the front office of our Clothing Donation Center. This role requires a proactive individual to oversee office operations, handle administrative duties, and ensure efficient coordination of donation pick-ups and driver dispatching. The ideal candidate will be an excellent communicator, a skilled multitasker, and a reliable team leader who thrives in a dynamic environment.
Responsibilities:
- Manage front office operations, serving as the primary point of contact by answering phones and responding to emails professionally and efficiently.
- Schedule donation pick-ups and coordinate driver routes to ensure timely and efficient operations.
- Act as a dispatcher for drivers, communicating logistics effectively to ensure smooth daily operations.
- Perform key administrative duties, including data entry, writing reports, drafting memos, and maintaining accurate records.
- Operate and maintain office equipment such as copiers, fax machines, and computers.
- Assist with preparing and generating reports for management and logistics tracking.
- Organize and maintain files and documentation, ensuring compliance with company policies.
- Work collaboratively with team members to support the overall efficiency of the Donation Center.
- Provide leadership and guidance to office and warehouse staff, ensuring a cohesive and well-coordinated work environment.
- Occasionally assist in accepting and handling incoming donations at the drive-up door when needed.
Requirements:
- Prior experience in an administrative role within an office setting; warehouse or logistics experience preferred.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent customer service and communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office technology.
- Experience in truck dispatching, logistics coordination, and route planning is highly desirable.
- Strong attention to detail, problem-solving skills, and the ability to work independently.
- Supervisory experience preferred.
- Ability to lift 25-35 pounds regularly and move 50-75 pounds occasionally with assistance.
- Must pass a criminal background check and drug screening/physical.
