Big Brothers Big Sisters of the Sun Coast is seeking a high-level Administrative professional for our corporate office in Sarasota. BBBS Sun Coast is an Agency that promotes the mentoring relationships between Bigs and Littles for the purpose of igniting the potential in each child served.
About Us: Big Brothers Big Sisters of the Sun Coast is dedicated to empowering youth through mentorship programs across our community. We are seeking an experienced Executive Administrative Assistant to provide crucial support to our CEO and Boards of Directors and Agency personnel.
Key Position Responsibilities Include:
- Provide comprehensive administrative support to the CEO.
- Calendar and Management
- Managing and prioritizing the executive's calendar, ensuring efficient time management; Preparing agendas, presentations, and meeting materials; Taking meeting minutes and following up on action items; Scheduling and coordinating meetings, appointments, and travel arrangements.
- Communication and Correspondence
Screening and managing phone calls, emails, and other forms of communication; Drafting and preparing correspondence, memos, and reports; Relaying messages and information to relevant parties; Communicating with internal and external stakeholders on behalf of the executive
- Travel and Expense Management
- Calendar and Management
- Manage lists and documents for Corporate Board and Community Board members.
- Prepare and manage on-boarding and off-boarding processes for Board Members.
- Handle foundation applications, award letters, and follow-up needs.
- Facilitate and participate in project that include a cross-functional team, where appropriate.
Requirements:
- High school diploma or equivalent. Associate’s or Bachelor’s degree in business administration, marketing, or related field preferred
- 5-7 years of office administrative experience at an executive level in a fast-paced organization.
- Strong organizational skills and ability to manage confidential matters.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
