Position Summary
BBBSTB is seeking a highly skilled, proactive, and detail-oriented professional to serve as Executive Support Project Lead to the CEO. This position is a critical partner to the CEO, helping drive efficiency across the organization by prioritizing time, attention, and operational alignment to the mission.
The Executive Support Project Lead provides comprehensive administrative and strategic support, serves as a primary staff liaison, and ensures effective communication and coordination across the organization. This role requires a high degree of emotional intelligence, effective communication skills, and the ability to thrive in a fast-paced, dynamic, and diverse nonprofit environment.
Key Responsibilities
Executive Support to the CEO
- Provide high-level administrative support, including calendar management, travel arrangements, expense reports, correspondence, and document preparation.
- Manage the flow of information to and from the CEO’s office, ensuring timely communication and follow-up on priorities.
- Draft, proofread, edit communications, presentations, and reports for internal and external stakeholders.
- Anticipate the CEO’s needs and proactively manage tasks for maximum efficiency.
- Coordinate special projects and cross-departmental initiatives, including RFP processes and operational/financial efficiencies.
Organizational Coordination
- Partner with the senior leadership team to align department priorities with organizational goals and strategic plan execution.
- Manage confidential and sensitive information with discretion.
- Support planning and execution of board-related organizational events, retreats, and recognition activities.
- Represent the CEO’s office with professionalism when interacting with staff, board members, donors, and external stakeholders.
Qualifications
Minimum Requirements
- Bachelor’s degree required, advanced degree or certification in nonprofit management, business administration, or related field preferred.
- 5–7 years of executive-level administrative support experience, preferably in a large nonprofit or complex organization.
- Strong understanding of nonprofit governance and board relations.
- Exceptional organizational, project management, and multitasking skills.
- Excellent written and verbal communication abilities; adept at drafting and editing professional documents.
- High proficiency with Microsoft Office Suite.
- Ability to work independently, prioritize competing demands, and meet deadlines in a demanding environment.
- Exceptional discretion and confidentiality.

Work Environment
- Routine office environment located in our Clearwater office with a hybrid work schedule.
- Standard office hours: Monday through Friday, 9:00 am – 5:30 pm.
