Overview of Match Support Specialist Position: Essential to the BBBS mission, the primary function of this position is to provide coaching and match support to parents/guardians, volunteers, and youth enrolled in our programs. Match support is how BBBS ensures child safety, positive impacts for youth, constructive and successful relationships between children and volunteers, and a strong sense of affiliation with BBBS.
Performance Measures: The successful Match Support Specialist will produce positive outcomes in the following areas: completed match checks, match retention rate, average match length, achieved youth development goals, community outreach, and match satisfaction.
Position Responsibilities:
- Uphold the agency’s core values: empowerment, safety, integrity, flexibility, compassion, and cultural competency.
- Provide relational, excellent customer service to all volunteers, families, youth, and community members.
- Apply child safety and risk management practices, policies, and procedures throughout every aspect of job function.
- Conduct thoughtful and thorough case management on a frequency according to BBBSA national standards, meeting key performance indicators and documentation requirements in the BBBS client management system.
- Continually assess the match relationship focusing on child safety, match relationship development, positive youth development and volunteer satisfaction.
- Identify potential difficulties in matches and develop strategic interventions to strengthen match relationships.
- Provide match relationship coaching to Bigs in a way that coaching is positively received and successfully implemented by Bigs.
- Create Youth Outcome Development Plans for Littles, to provide goals and structure for the match.
- Ensure matches complete required match surveys. Effectively utilize surveys to assess match impact on youth development. Conduct match closure conversations, assess reasons for match closure and the potential for re-match of Big and/or Little.
- Manage and facilitate bi-monthly group mentoring program.
- Develop, promote, and facilitate monthly match activities at the BBBS office.
- Participate in agency-wide events including fundraisers, recruitment, and volunteer appreciation.
- Maintain client files to ensure client information is up to date.
- Ensure high-level expertise in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job function.
- Provide community resources for Bigs, Littles and Parents/Guardians.
- Conduct exit interviews by phone with all parties at match closure. Assess reasons for match closure and re-match potential. When match closes, forward the file to supervisor for third party assessment.
- Provide files for supervisor’s review for new matches, at the match anniversary, and at match closure.
- Attend and participate in monthly all-staff meetings, monthly program meetings, and other organization trainings and meetings as identified by supervisor.
- Consult with other program staff and/or supervisor as appropriate.
- When required to, make mandated reporters call DCFS and follow procedures regarding internal and external documentation.
- Share potential partnership relationships with the development and/or marketing teams.
- Act as a team player by providing coverage and support for other teammates.
- Screen and assist with agency-related phone calls.
- Other duties as assigned.
Qualifications for Position:
- English/Spanish bi-lingual preferred but not required.
- Enthusiasm and palpable passion for the mission of BBBS.
- Flexibility in personal schedule to meet the needs of clients- i.e., availability on evenings and weekends to facilitate match checks, match introductions, and match activities.
- Alignment with the core values of BBBSMC; empowerment, safety, integrity, flexibility, compassion, and cultural competency.
- Experience engaging with child and young adult populations; an understanding of child development, child safety, and family dynamics.
- Familiarity with local youth serving organizations and community-based resources.
- Ability to respect diverse perspectives and an elevated level of comfort discussing topics relevant to youth/young adults i.e.- academics, career planning, healthy relationships, safe social media usage, sexuality, gender, substance misuse, mental health, etc.
- Ability to provide high level customer service, effective communication, and communication skills both in person and over the phone are required.
- Exhibit integrity and maintain an elevated level of confidentiality when managing sensitive information.
- Must be able to work well with autonomy, be initiative-taking, flexible, highly organized and able to manage multiple priorities at the same time.
- Must be able to work independently and work as part of a small team.
- Proficiency in Microsoft 365
- Must have reliable transportation and be able to travel locally.
- Must be able to sit for extended periods of time, lift 30 pounds and execute balancing, stooping, kneeling, crouching, crawling, and reaching which may be required
- Ability to type a minimum of 40 words per minute.
- A high school diploma or GED required, bachelor's degree or relevant years of work/life experience preferred.
