The Recruitment & Enrollment Specialist plays a critical role in advancing the mission of Big Brothers Big Sisters of Greater Rochester (BBBSR) by executing the organization’s Strategic Recruitment Plan. This position is responsible for coordinated recruitment, onboarding, screening, and enrollment of volunteer mentors (Bigs), youth participants (Littles), non-mentoring volunteers, and BBBS alumni across BBBSR’s four-county service area. The role manages the full front-end engagement lifecycle—from outreach and inquiry through enrollment or onboarding—ensuring child safety, equity-centered practice, accurate data management, and audit-ready documentation, while building sustainable recruitment pipelines that support mentoring matches, events, program delivery, and long-term organizational engagement.
Implementation of Strategic Recruitment & Outreach
- Implement and operationalize BBBSR’s Strategic Recruitment Plan, including targeted outreach to mentors,
youth, volunteers, and alumni
- Represent BBBSR at schools, colleges, community organizations, faith-based institutions, corporate partners,
and public events
- Support recruitment initiatives such as information sessions, tabling events, Mentor Meet-Ups, and volunteer
engagement activities
- Build and maintain referral pipelines with school districts, social service agencies, employers, and community
partners
- Collaborate with Marketing and Development teams to support digital campaigns and recruitment visibility
Enrollment & Intake Management (Bigs & Littles)
- Respond to inquiries and conduct pre-screening to assess readiness, fit, and eligibility
- Review applications and collect required documentation
- Conduct structured interviews and assessments using BBBS-approved tools
- Coordinate eligibility determination and enrollment completion
- Maintain proactive, culturally responsive communication to reduce attrition
- Prepare complete, audit-ready enrollment files and facilitate handoff to Match Support Specialists
Volunteer & Alumni Onboarding (Non-Big Roles)
- Coordinate onboarding for non-mentoring volunteers, including event and short-term roles
- Support BBBS alumni engagement pathways, including re-engagement, referrals, and ambassador roles
- Ensure volunteers and alumni receive clear role expectations and orientation
Screening, Child Safety & Compliance
- Conduct BBBS-approved interviews and screening
- Coordinate background checks, references, and required clearances
- Ensure compliance with child safety standards, confidentiality policies, and mandated reporting laws
- Maintain audit-ready participant and volunteer files
Data Management, SMART Goals & Reporting
- Maintain accurate and timely data entry in Matchforce platform
- Track recruitment, enrollment, onboarding, and alumni engagement metrics
- Support dashboards, quality assurance reviews, funder reports, and audits
Contributing to Agency Events and performing additional tasks as assigned by the Director of Programs, or CEO.
Communicating new and innovative ideas to applicable departments to capitalize the agency mission.
Adhering to the agency’s beliefs, values and mission in all job-related activities.
Complying with all Agency procedures.
Pay: $40,500.00 - $42,000.00 per year
