Duties
- Answer and direct phone calls and emails
- Assist with preparation of proposals, contracts, and project documentation
- Organize digital files, plans, permits, and project records
- Track project schedules and assist with coordination of subcontractors and suppliers
- Assist with invoicing, billing, and document management
- Communicate professionally with clients, vendors, and team members
- Support management with administrative and project-related tasks
- Maintain organized records and filing systems
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail.
- Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic data entry skills.
- Experience with phone etiquette and front desk operations
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Knowledge of QuickBooks or similar bookkeeping software is preferred but not required; training can be provided.
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Personal assistant experience or previous roles involving calendar management and administrative support will be advantageous.
- Self- motivated with strong attention to detail.
- Construction industry experience a plus, but not required
- Experience with project management or estimating software is a plus
Pay: From $20.00 per hour
