Summary Job Description: Full Time 40 weekly hours, day shift Job Summary: Functions as the Office Coordinator for the Environmental Services Department. Performs administrative duties for the EVS Director, EVS Managers and EVS Leads. Utilizes Word, Outlook, Excel skills, working independently without direct supervision. Also utilizes EPIC Grand Central Application (Bed Tracking), PeopleSoft, and MyTime (Time and Attendance). Demonstrates flexibility, initiative, good judgment, ability to prioritize workload, knowledge of internal and external customers, broad knowledge of Department and company policy and procedures. Provides courteous and professional greetings and handling of all phone calls to the Department and visitors that enter the EVS Department. Principal Duties and Responsibilities: The following is a summary of the major functions of this individual's job. He or she may perform other duties, both major and minor, which are not mentioned below, and specific functions may change from time to time. 1. Provides administrative support for department, routing calls/inquiries to appropriate parties; acts as a resource and facilitates response to any customer needs. 2. Processes phone calls/service requests/documents calls/ensures follow-up. 3. Monitors EPIC – EVS Command Center – Discharge Response. Acts as the main point of contact for all EVS Throughput functionality. 4. Maintain and edit payroll daily, submits bi-weekly for Director/Assistant Director Review and submission. Track and record employee attendance via Excel Spreadsheet, and alerts EVS Management Team when Progressive Counseling is required. 5. Effective in verbal and written communication with employees, patients, visitors and others. Documents and routes calls accurately, and ensures follow-up is satisfactory. 6. Retrieves and distributes mail for all EVS personnel. 7. Assist EVS employees, as needed. 8. Contact vendors as needed to provide services. 9. Maintains pest control and regulated medical waste (RMW) service logs. Maintains all RMW and hazardous waste manifests. 10. Maintains office supplies for EVS department, places supply orders when required. 11. Maintains employee training records, assist with New Employee Orientation. 12. Maintains employee bulletin boards, daily management board, and other visual communications throughout the department. 13. Coordinates and organizes employee meetings, training classes, and other events for all EVS Staff. 14. Any other duties as assigned. Minimum Education, Training and Experience Required: A. High School diploma or equivalent with business courses required. B. Two years’ experience in Customer Service related industry. C. Must be self-directed, able to manage time, and multiple tasks/projects. D. Must show competence in multiple computer applications, such as Word, and Excel. Experience with Office Equipment, such as a Copier, and Scanning Equipment.
