What You’ll Do (Responsibilities)
- Master the Contract-to-Close Pipeline: Manage all aspects of real estate transactions, including precisely preparing and reviewing contracts, disclosures, and legal documents.
- Be the Ultimate Communicator: Coordinate seamlessly between buyers, sellers, agents, lenders, and escrow/title officers to ensure everyone stays aligned and updated.
- Own the Calendar: Schedule and confirm critical appointments (inspections, appraisals, closings)
- Maintain Flawless Records: Oversee the collection, data entry, and digital filing of essential transaction documents.
- Guard the Deadlines: Actively track critical milestones to ensure absolute compliance with legal requirements and company standards.
- Deliver 5-Star Service: Handle incoming inquiries via email and a multi-line phone system with exceptional professionalism and warmth.
- Keep Operations Smooth: Support overall office management with clerical tasks, document proofreading, and administrative support.
What We Are Looking For (Qualifications)
- Proven Real Estate/Admin Experience: Strong background in real estate transaction coordination, office management, or high-level administrative roles (related fields like medical/dental reception or executive assisting will be considered).
- Tech-Savvy Skillset: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Dotloop
- Detail-Obsessed & Organized: An uncanny ability to multitask efficiently and maintain hyper-attention to detail in a vibrant office environment.
- Professional Edge: Exceptional communication skills and professional phone etiquette.
- Process Knowledge: Deep understanding of the real estate transaction workflow, file compliance, or comparable bookkeeping/office admin experience.
