Beyond Wellness is a trusted functional medicine clinic in the Twin Cities east metro. We are a small business and pride ourselves on our long-term patient relationships that we've developed through stellar patient care and expertise of integrative medicine.
Our mission is to provide optimal health and wellness by identifying and treating the root cause of our patients' symptoms with regenerative therapies and integrative strategies.
Our services include functional medicine testing and nutrition and detox programs, chiropractic and applied kinesiology, mild hyperbaric oxygen therapy, Quantum Neuro Reset Therapy, Harmonic Egg, and more.
We are seeking a new Patient Coordinator and Hyperbaric Technician to oversee daily patient care in the clinic under the direction of the Clinic Director/Practitioner.
Responsibilities
Patient Care:
- Use Jane patient software to manage scheduling, payments, patient notes, and troubleshoot system issues
- Keep practitioner and patient schedules up to date, keep practitioners informed of any important info for upcoming patients, and events
- Monitor incoming lab test results, manage practitioner's reports preparation schedule
- Coordinate supplement recommendations for patients on behalf of practitioner or other components of patient care
- Support patient report preparation for clinician by entering patient lab data, sending estimates and invoices, answering patient questions, ordering lab tests, sending patient test prep instructions and other communications, coordinate clinician prep time and patient appointments
- Send and automate New Patient forms; send follow up reminders to patients to complete
- Use Constant Contact and business email to send patient communications
- Act as expert Beyond Wellness ambassador, accurately informing patients over the phone and in person of our services and clinic processes.
Hyperbaric Technician:
- Act as expert Hyperbaric ambassador, accurately informing patients over the phone and in person of hyperbaric mechanisms and benefits
- Responsible for overseeing patient hyperbaric sessions - providing proper instruction before the session, operating the chamber, monitoring the patient throughout the session, and maintaining patient notes for the clinician
- Expert on all chamber maintenance and logistics, responsible for following safety and maintenance protocols within the manual and their certification
- Constantly informing self on hyperbaric research and studies, and the benefits of different health conditions
- Supports clinician in managing patient protocols and progress
- Follows protocol for maintaining equipment and room cleanliness, and preparedness for patient sessions
Office Coordination:
- Track and order supplements and other office supplies for the clinic
- Troubleshoot technical issues with phones, printers, internet
- Lead office cleaning duties
- Keep supplement and other inventory prices up to date
- Update or create branded patient forms for clinician
- Monitor lobby product inventory to track sales
- Update lobby product displays as needed
- Assist with events and sales promotions when appropriate in an elevated customer service setting
Requirements
- Must complete Hyperbaric training certification upon hiring (company paid)
- Previous experience in a healthcare office setting with familiarity in clinic operations and front desk responsibilities
- Excellent computer skills including Microsoft Office suite; typing speed words per minute
- Exceptional organizational skills with attention to detail in documentation review and care plan management
- Knowledge of HIPAA regulations to ensure confidentiality and compliance in all aspects of patient information handling
- Previous experience with hyperbaric oxygen therapy, holistic health, functional medicine, or emotional wellness clinic settings enhances your fit for this role
- Previous experience in marketing, sales, events promotion, and customer service in an elevated setting
