Overview:

The Client Experience Assistant is the welcoming face and voice of Beyond Financial Planning's front office. In this part-time role, you'll greet clients, manage incoming calls, keep the office presentable and meeting-ready, and provide light administrative support for 10-15 hours per week.

This role is ideal for someone who takes pride in first impressions, enjoys creating a warm and organized environment, and is comfortable juggling phones, visitors, and administrative tasks with professionalism and discretion.

In this role, you'll be the first point of contact for clients, help create memorable experiences, support communication that strengthens client relationships, and contribute to a well-oiled office setting.

Responsibilities:

Client Service & Front Office Operations

  • Greet clients warmly and maintain a professional, welcoming office presence.
  • Answer phones promptly and professionally, routing calls and taking accurate messages.
  • Prepare conference rooms for client meetings, ensuring proper setup and professional appearance.
  • Provide backup customer service and support via phone, email, or in person as needed.
  • Maintain organized and professional common areas and client-facing spaces.

Light Administrative Support

  • Send birthday cards and acknowledge major life events for clients.
  • Coordinate sending flowers or gifts for appropriate client occasions.
  • Provide general administrative assistance to advisors and staff, such as filing, scanning, mailing, and data entry.
  • Order and maintain office and reception area supplies.
  • Assist with printing and client packet preparation as needed.

Professional Development

  • Actively participate in team development, training, and internal planning sessions.
  • Collaborate with team members to support firm-wide goals and initiatives.
  • Stay current on tools, regulations, and best practices required to support financial professionals.

General

  • Handle confidential client and business information with discretion and integrity.
  • Maintain organized systems for tracking event schedules, marketing initiatives, and client touchpoints.
  • Identify opportunities to improve client experience processes and office efficiency.
  • Provide timely updates to supervisors on projects, events, and client engagement activities.

Position RequirementsQualifications:

  • 1 years of administrative, customer service, front desk/reception experience in a professional setting.
  • Comfortability interacting with and relating to all types of people while remaining professional, cheerful, and friendly.
  • Financial services industry experience preferred but not required.

· Proficiency in common office technology and platforms including but not limited to:

Microsoft Office Suite, Google Office Programs, Customer Relationship Management (CRM) systems, standard office equipment, internet browsers, video communication and chat platforms.

Workplace & DisclosuresPhysical & Non-Physical Demands

· Regular part-time office hours onsite.

· Occasional lifting, bending, and carrying of PCs, full banker boxes, or other portable office equipment.

· Achieve additional certifications or proficiency in other modern-day programs, tools, or technology as defined by either our governing regulations or that of the leadership team. Including but not limited to all requirements to be approved by Cambridge Investment Research (CIR) as a “Non-Registered Admin”.

Working Conditions

· Professional, fast-paced, collaborative office environment.

· Primarily office-based, front-desk role with in-person presence during scheduled hours.

· Part-time schedule; specific days/hours to be determined and set based on office needs.

Pay: $16.50 - $22.00 per hour
