Reports to: Superintendent of Schools / School Committee Chair Position Type:Confidential Secretary This position provides high-level, confidential administrative support to the Superintendent of Schools, and serves as the central point of contact for the Superintendent’s office, ensuring the smooth operation of day-to-day activities, communication, and scheduling. This position also provides confidential administrative support to the School Committee and serves as the primary liaison between the Committee, the Superintendent, school and city officials, and the community. The role requires organizational skills, discretion, and managing multiple priorities in a public-facing environment. This role additionally requires strong organizational, communication, and record-keeping skills, as well as the ability to work with discretion in a public-facing environment. Duties and Responsibilities: - Provide confidential administrative support to the Superintendent. - Serve as confidential secretary to the School Committee, maintaining professional and discreet communication with the School - Committee Chair and members. Provide logistical support to School Committee and its membersCollaborate with the Superintendent and/or School Committee/Subcommittee Chair to schedule and prepare for School Committee and subcommittee meetings, including agenda preparation, posting of required notices, and compilation/distribution of meeting packets. As well as coordinating the meeting space and attendance of individuals to be recognized at meetings. - Record the meeting minutes for all open session School Committee and subcommittee meetings, and prepare them for review at the following meeting. - Maintain and update the District Policy Manual; coordinate the review cycle with Chair(s). - Manage the Superintendent’s calendar; scheduling of appointments, meetings, and conferences. - Facilitate homeschooling applications: process approvals, track progress reports, maintain student lists, and provide official notifications to applicants. - Administer School Choice and Open Enrollment processes, including application management, file maintenance, and official correspondence. - Prepare correspondence, reports, and other documents as directed by the Superintendent. - Prepare School District Calendars for review and approval of the School Committee. - Review and process all incoming mail for the Superintendent’s office. - Place and receive telephone calls on behalf of the Superintendent. - Prepare and maintain the School Department “snow chain,” coordinating communications with TV/radio stations and school administrators regarding weather-related closures or delays. - Oversee the McKinney Vento Program, act as the district’s school-based homeless liaison. - Review and approve flyers and community event notices for distribution or posting, in accordance with district guidelines. - Attend all Regular School Committee meetings providing direct support to the Chair and members. - Maintain and update relevant information on the School Committee website (member contact information, Subcommittee chairs, membership lists, etc.). - All other reasonable duties as assigned by the Superintendent.

Salary : $84,000 - $90,000
