What are the responsibilities and job description for the Medical Billing and Collections/Front Office position at BetterCare/Northern Physical Therapy?
Position Summary
The Billing & Collections Specialist is primarily responsible for supporting the complete medical billing and collections cycle, with a strong focus on maximizing reimbursement, resolving outstanding claims, and collecting patient balances. This position works closely with insurance carriers, patients, clinical staff, and the front office to ensure claims are submitted accurately and outstanding accounts are followed through to resolution.
This position will also be cross-trained in front desk operations and is expected to provide front desk coverage as needed. While front office support is an important part of the role, billing and collections remain the primary responsibility.

- Manage assigned accounts throughout the medical billing and collections cycle.
- Review claims and patient accounts for accuracy, completeness, and appropriate supporting documentation.
- Submit and follow up on medical claims using the organization's billing and EMR/EHR systems.
- Follow up consistently on unpaid, underpaid, rejected, and denied claims.
- Contact insurance carriers to determine claim status, resolve payment discrepancies, and facilitate timely reimbursement.
- Work denials and identify corrections or additional information necessary for claim reconsideration or resubmission.
- Maintain accurate documentation of all insurance and patient collection activity.
- Follow up with patients regarding outstanding balances and establish appropriate payment arrangements when authorized.
- Collect and accurately post copays, deductibles, coinsurance, and other patient payments.

- Review medical documentation as necessary to support accurate claim submission and reimbursement.
- Understand and appropriately apply CPT and ICD-10 coding principles relevant to the services provided.
- Identify recurring billing or front-office issues contributing to denials, delayed reimbursement, or uncollected patient balances and communicate these concerns to management.
- Stay current with payer requirements, insurance policies, billing procedures, and changes affecting reimbursement.
Insurance & Patient Account Support
- Assist with insurance verification and confirmation of patient benefits when needed.
- Verify that required insurance information, authorizations, referrals, and supporting documentation are present in the patient chart.
- Help ensure patient financial responsibility is identified and communicated appropriately.
- Work collaboratively with front desk staff to prevent billing and collection issues before services are rendered.
Front Desk Coverage
- Provide front desk coverage when needed due to staffing, lunches, absences, or other operational needs.
- Greet patients and visitors professionally and warmly.
- Assist with patient check-in and check-out.

- Collect copays, deductibles, outstanding balances, and other amounts due at the time of service.
Additional Responsibilities
The Billing & Collections Specialist is expected to contribute to the overall efficiency of the office and work collaboratively with the billing, front desk, clinical, and administrative teams. Additional duties may include filing, scanning, faxing, organizing documents, maintaining office records, and other administrative responsibilities as assigned.
The employee is responsible for learning and consistently following all company policies and procedures, including requirements related to patient privacy, billing, collections, insurance verification, scheduling, and documentation.
Qualifications
- Prior medical billing and/or medical collections experience strongly preferred.
- Experience working the complete medical billing cycle, including claim submission, payment posting, denials, follow-up, and collections.
- Working knowledge of CPT and ICD-10 coding and medical terminology.
- Knowledge of commercial insurance, Medicare, Medicaid, and other healthcare payer requirements preferred.
- Experience with EMR/EHR and medical billing software.
- Strong understanding of patient accounts, insurance benefits, copays, deductibles, and coinsurance.
- Strong organizational skills and attention to detail.

- Professional and effective communication skills when working with patients, insurance representatives, clinicians, and coworkers.
- Ability to protect confidential patient and financial information.
- Comfortable transitioning between billing responsibilities and front desk coverage when operationally necessary.
- Proficiency with Microsoft Word, Excel, and general office technology preferred.
Performance Expectations
Success in this position is measured primarily by the employee's ability to actively work outstanding accounts, resolve claim issues, reduce accounts receivable, collect patient balances, and support timely and accurate reimbursement. The employee is expected to demonstrate consistent follow-through and ownership of assigned accounts.
Because front-end processes directly affect reimbursement, the Billing & Collections Specialist is also expected to help identify and correct issues involving insurance verification, authorizations, patient responsibility, documentation, or scheduling that could result in preventable denials or lost revenue.
Front desk coverage is an important secondary responsibility and the employee must be capable of stepping into that role when needed while maintaining responsibility for assigned billing and collections work.
