Better U is looking for an Operations Manager who is as obsessed with outcomes as we are.
This is a people manager role first. You will directly lead administrative teams, own their performance, and be accountable for outcomes, not just workstreams.
Better U is a platform providing non-clinical administrative and operational support services exclusively to a network of independent licensed clinicians. You will serve as the primary liaison between Better U and the independent licensed clinicians we support, ensuring clean, compliant separation of business and administrative functions from all clinical functions at all times.
A critical part of this role is direct ownership of patient escalations. When customer service team leads escalate sensitive or complex patient situations, this role is the next line of response. You will handle these escalations with urgency, empathy, and professionalism, resolving issues quickly while protecting the patient experience and ensuring all non-clinical administrative boundaries are maintained at all times.
This is a hands-on, sleeves-rolled-up leadership position for someone who thrives in complexity, moves with urgency, and understands that in healthcare administration, the details are the difference.
What You Will Own
As the operational backbone of Better U, you are not here to oversee from a distance. You are here to build, execute, and lead from the front, which is:
- Directly managing all non-clinical staff: administrative teams, care coordination support personnel, and client success staff, all operating exclusively within non-clinical, administrative functions
- Owning patient escalations surfaced by customer service team leads: resolving complex administrative situations with speed, empathy, and compliance
- Managing KPIs and performance metrics across every administrative team you touch: track the numbers, report the results, and drive continuous improvement
- Vendor and partner relationships: performance and day-to-day management of all third-party vendors, technology partners, and supply chain partners
- Compliance workflows: ensuring clean and documented separation of all MSO administrative functions from the independent clinical practices we support, in accordance with CPOM, HIPAA, and all applicable state and federal regulations
- Administrative scheduling and logistics coordination in support of the independent licensed clinician network
You will identify operational gaps, build solutions, and execute with precision. You are the person who makes sure nothing falls through the cracks, ever.

Key Responsibilities
Daily Operations & Team Leadership
- Lead daily standups and team meetings across both in-office and remote non-clinical administrative staff
- Serve as the day-to-day operational point of contact for all administrative teams, ensuring alignment, clarity, and momentum every single day
- Remove blockers, solve problems in real time, and ensure every team member has what they need to execute
- Own patient escalations surfaced by customer service team leads: handle with urgency, empathy, and strict adherence to non-clinical administrative boundaries
- Coordinate non-clinical administrative logistics and services in support of the independent licensed clinician network
KPI Ownership, Performance & Growth
- Own, build, and maintain KPI dashboards across all administrative operational teams in real time
- Deliver weekly and monthly performance reports directly to the VP of Operations and CEO
- Identify opportunities to improve efficiency, administrative workflows, and scalability of non-clinical operations
- Support growth initiatives including new administrative service lines, new markets, and workflow improvements
Compliance & Regulatory Oversight
- Own day-to-day compliance operations, ensuring all MSO activities maintain proper, documented separation from independent clinical practices under CPOM, HIPAA, and applicable state and federal regulations
- Proactively identify and flag compliance risks before they become problems
- Ensure all administrative teams are trained on and operating within compliance standards at all times
Reporting & Executive Communication
- Report directly to the VP of Operations and CEO with clear, concise, data-driven operational updates
- Prepare operational summaries, performance reports, and strategic recommendations for leadership review
Project Management & Systems
- Lead day-to-day operations and administrative teams through new program launches, process rollouts, and operational infrastructure improvements
- Own and drive adoption of operational systems across all administrative teams
Additional Responsibilities
- Oversee administrative insurance coordination, third-party credentialing vendor management, and revenue cycle administrative support
- Own HR contractor/vendor relationships and support hiring, onboarding, and performance management for all non-clinical staff
- Own all vendor contracts and B2B partner relationships
Qualifications
- 5 years in people management and operations in healthcare administration, behavioral health, telehealth, or digital health: direct team management experience is required, not optional
- Proven hands-on operator who builds systems, manages teams, and leads with excellence across both in-office employees and remote 1099 contractors, experience managing a blended workforce is a strong plus
- Demonstrated ability to handle patient or client escalations with professionalism, empathy, and composure under pressure
- Proficiency with CRM platforms (Salesforce, GoHighLevel), EHR administrative systems, and Monday.com, notion
- Comfortable reporting directly to C-suite leadership
- Bachelor's degree in Business, Health Administration, or related field; candidates with clinical backgrounds (PMHNP, LCSW) and significant operational and administrative experience are encouraged to apply
- Experience in mental health, behavioral health, or holistic health administration strongly preferred
- Startup experience strongly preferred : this is a build-it-as-you-go environment and we need someone who thrives in that energy
