This role is essential in ensuring the smooth operation of counseling clinic. You will be responsible for managing administrative tasks, facilitating communication, and ensuring the timely and accurate processing of medical billing. The ideal candidate will have a strong background in office management, excellent communication skills, and proficiency in various software applications.

Duties
1. Client Experience & Front Office Management
- Serve as the first point of contact by warmly greeting and assisting all clients, both in-person and via virtual platforms.
- Manage all inbound and outbound communications, including operating phone systems and managing professional email correspondence.
- Efficiently own the scheduling process, managing appointment calendars, coordinating patient flow, and organizing internal meetings.
- Provide exceptional customer support by proactively addressing client needs and resolving general inquiries or scheduling conflicts promptly.
2. Financial & Medical Billing Operations
- Manage the full revenue cycle process by accurately verifying patient insurance eligibility and preparing and submitting claims in a timely manner.
- Ensure financial follow-up by actively tracking outstanding claims, addressing discrepancies, and coordinating with insurance payers to secure payment.
- Handle all patient payments and assist clients with billing inquiries, payment arrangements, and general financial support.
- Support foundational bookkeeping tasks as needed, including basic accounting functions and transaction entry using QuickBooks.
3. Administrative & Team Support
- Maintain comprehensive record systems by creating, updating, and meticulously organizing patient files and administrative documentation to ensure compliance.
- Provide direct administrative support to the CEO, including high-accuracy data entry, document creation, and proofreading.
- Utilize the full range of office technology, including Microsoft Office Suite and Google Workspace, to create spreadsheets, documents, and presentations.
- Collaborate across the organization by participating in team meetings and proposing or supporting initiatives that streamline office processes and enhance overall operational efficiency.
Requirements
- Proven experience in administrative support, and reception with experience in medical billing strongly preferred.
- Familiarity with electronic health records (EHR) systems and billing software.
- Strong attention to detail and excellent organizational skills.
- Exceptional communication and customer service abilities.
- Ability to prioritize tasks and manage time effectively.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent phone etiquette and customer service skills; bilingual candidates are encouraged to apply.
- Strong typing skills with attention to detail for accurate data entry and documentation.
- Ability to manage time effectively while meeting deadlines in a fast-paced environment.
- Must be comfortable and support the mission, vision and core values of practice.
Job Type: Full-time
Pay: $21.00 - $27.00 per hour
Expected hours: 40 per week
