Job Title: Bookkeeper
Department: Admin- Helena
Reports To: President
FLSA Status: Part-Time
Summary: Records the company’s financial accounts and records. Duties include checking accounting records for accuracy, tracking invoices and payments and maintaining a system for organizing company documents.
Essential Duties and Responsibilities: include, but are not limited to, the following
Maintaining accounts receivable and accounts payable
Warranty submissions to vendors
Warranty reimbursement tracking from vendors
Bank deposits
Billings distributor invoicing
Billings distributor order tracking
Billings distributor warranty tracking
Service billing
Documenting transaction details
Putting together financial reports
Fact-checking accounting data
Notify senior staff of any accounting errors
Calculate interest charges
Recording financial transactions
Tracking payroll data
Assist in daily office needs and managing company’s general administrative activities, technical support as needed
General housekeeping duties
Temporary employee tracking
Reconciliation of the following:
- 2 Credit cards/month
- 2 savings accounts
- 1 checking account
- Payroll submission to accountant
- Product PO’s to vendors
- Payroll (this may be brought in-house)
Supervisory Responsibilities: This position has no supervisory responsibilities.
Education and/or Experience: Bachelor’s degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and interpret documents and financial statements. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of Accounting software including QuickBooks; Contact Management Systems; Social Media, Spreadsheet software and
Word Processing software.
