Warranty Administrator - Automotive

Essential Duties & Responsibilities

The Automotive Warranty Administrator is responsible for the accurate, timely, and compliant processing of all warranty-related documentation and payments. Key areas of responsibility include:

• Preparing, recording, and submitting warranty claims to the manufacturer and/or distributor, and reconciling them as required.
• Processing warranty claims promptly for each franchise or distributor.
• Reviewing all warranty paperwork to ensure complete and proper documentation.
• Verifying all criteria required by the factory, distributor, or warrantor.
• Reconciling warranty receivables with payments through the appropriate accounting schedules.
• Posting warranty credits into the DMS/computer system.
• Resubmitting rejected claims in a timely manner or obtaining authorization for write-offs.
• Following up on outstanding warranty payments to ensure timely reimbursement.
• Filing and maintaining service records as required by warranty guidelines and regulations.
• Staying current on all manufacturer recalls, service campaigns, and warranty bulletins.
• Assisting with body shop warranty claims as needed.
• Providing clerical and administrative support to the Fixed Operations Manager, Controller, or Service Department as assigned.
• Maintaining a professional appearance and an organized, clean work area.
• Performing additional duties and responsibilities as assigned by management.

Qualifications

• 3 years of direct automotive warranty administration experience required
• Stellantis (Chrysler/Dodge/Jeep/Ram) warranty experience strongly preferred
• Experience with Reynolds & Reynolds (ERA/Ignite) DMS
• Strong organizational skills with excellent attention to detail
• Professional communication and customer service skills
• Strong follow-through and ability to meet deadlines
• Ability to work collaboratively with service advisors, technicians, and management
• Reliable, self-motivated, and able to manage multiple tasks in a fast-paced environment

Salary : $50,000 - $90,000
