We are seeking an experienced Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to the pastor and church leadership, managing calendars, scheduling meetings, preparing documents, and providing general office support. The ideal candidate will have excellent organizational skills, a professional attitude, some desktop publishing or graphic design skills, and the ability to multitask. We are looking for someone who is highly motivated and eager to learn new skills.

Responsibilities:

1. Answer all telephone calls and direct them to the pastor, the appropriate staff or lay member.

2. Log all telephone and in-person messages. Respond to emails, calls, and in-person messages or pass the messages to the appropriate person as soon as possible.

3. Forward all meeting and participation requests that involve Bethel church to the pastor.

4. Greet all visitors and ensure that visitors who need assistance or need to talk to the pastor sign into a guestbook specifying date, name, contact information and purpose of visit.

5. Assist pastor in preparing annual Pastor’s report.

6. Collect all incoming mail and distribute it to the appropriate individuals and mailboxes. Hand-deliver the mail to the pastor and finance team if they are in office.

7. Ensure that all outgoing mail is picked up by the mail carrier daily.

8. Add and update all content on the digital sign as approved by the pastor.

9. Collect sermon titles, scriptures, music titles, psalters and announcements for the Sunday bulletins from the pastor, director of music and committee members and proofread the bulletin.

10. Prepare and print bulletins using collected content and relevant images.

11. Prepare in-person and streaming worship service screen displays using collected content and relevant images and submit to the audio-visual team.

12. Mail the Sunday worship service bulletins to the sick and shut in on Tuesdays.

13. Collect all attendance rosters from Sunday school and Sunday worship service and input names into the church database.

14. Collect names and addresses of all first-time worship service visitors and send them a signed letter from the pastor. Ensure that the letters are mailed no later than Wednesday after the visitors attend Sunday Service.

15. Update the church database with new and changed member addresses, email addresses, telephone numbers and birthdays.

16. Collect birthdays from church database, input into a letter or card wishing the member a happy birthday, and mail no later than Wednesday prior to the birthday week.

17. Enter information pertaining to the transfer, death, and new members in the church database and provide to the Membership Secretary. Also keep a hard copy of this information, including resolutions, available for the pastor for Charge Conference purposes.

18. Maintain the church calendar of events and holidays. Collect all dates for church activities, meetings, and programs. Make all updates to the church calendar ensuring that there are no conflicts.

19. Assist the church newsletter team in collecting articles and publishing the newsletter. Print the necessary copies and handout or mail the newsletter to all Bethel households.

20. Order all office supplies, paper, toner, etc.

21. Maintain digital copies of bulletins as files as well as a public folder for all church members.

22. Keep the administrative assistant workspace, reception area, and printer room neat and orderly. Ensure that the conference room is neat and orderly.

23. Ensure the use of proper printer codes to allow for tracking of printer costs.

24. Complete other administrative tasks, including typing correspondence, printing copies and maintaining electronic files as requested by the pastor, staff, organization chairs and committee members, as approved by the pastor.

Pay: $18.00 per hour
