Role Overview
The Creative Project Coordinator will serve as a key contributor in our Creative department, primarily coordinating project workflows, timelines, stakeholders and execution (≈70%) while managing a portfolio of design and visual projects (≈30%). You’ll bridge creative production and project operations to ensure that visual assets, campaigns and design deliverables align with our brand, manufacturing schedule and Go-To-Market initiatives.

Project Coordination (~70%)
- Manage project planning, timelines, milestones and deliverables across the art/creative department.
- Serve as point-of-contact for internal stakeholders (marketing, manufacturing, sales, product development) and external vendors/partners to align creative efforts with business objectives.
- Track and report project status, roadblocks and next steps; maintain project documentation, task lists, calendars and workflow tools.
- Prioritize multiple concurrent projects, ensuring on-time, on-budget, high-quality deliverables.
- Lead a weekly Creative Services “stand up” meeting to review active projects, upcoming deliverables, and identify areas where team members may need additional support
- Facilitate hand-offs between design, pre-press/production, manufacturing and marketing teams.
- Ensure design production meets brand and product strategy, as well as seasonal demands and product launch schedules (important in a company with large seasonal volume like Betallic).
- Assist with coordination of creative briefs, approval processes and implementation of visual assets across channels (print, packaging, digital, trade-show materials).
- Liaise with manufacturing/operations as needed to sync design timelines with production schedules.
Graphic / Art Department Work (~30%)
- Assist in creation or revision of visual design assets: packaging graphics, collateral, trade-show signage, digital banners, product photography overlays, concept mock-ups.
- Work with Adobe Creative Suite (Illustrator, InDesign, Photoshop) to support the creative team; ensure file preparation meets production/manufacturing standards.
- Maintain and organize design asset libraries, version control, and brand consistency across all visual materials.
- Support design reviews and quality-checks (color accuracy, artwork specification, production-ready files).
- Assist in adapting visual assets for multiple formats and use-cases (e.g., digital, print packaging, online catalogue, point-of-sale).
Qualifications & Skills
- 3-5 years of professional experience coordinating creative or art/graphic-design projects (or equivalent).
- Demonstrated ability to manage multiple projects and stakeholders concurrently in a fast-paced manufacturing/creative environment.
- Solid understanding of graphic design workflows and production (package printing, dielines, digital asset specs) — while not necessarily leading full design projects, you’ll have enough fluency.
- Strong proficiency with Adobe Creative Suite (Illustrator, InDesign, Photoshop) and print/digital file preparation best practices.
- Excellent organizational and communication skills — both verbal and written.
- Experience with project management tools (e.g., Asana, Trello, Monday.com) is a plus.
- Capacity to work independently and within a team; proactive mindset, strong attention to detail, good problem-solving skills.
- Familiarity or interest in the party/celebration product industry, seasonal product launch cycles, manufacturing context is a plus.
- Bachelor’s degree preferred (in graphic design, communications, project management, or related field) but equivalent experience considered.

Reporting & Metrics
- You will report to the Creative Manager (or equivalent).
- Key performance metrics: on-time delivery of creative assets, number of projects completed on schedule, stakeholder satisfaction, quality of design deliverables and adherence to brand standards.
- Secondary design metrics might include asset reuse/repurposing efficiency, design turnaround time, number of assets developed for seasonal product launches.
