Transportation Manager (with Administrative Responsibilities)

Best Ride Transportation Service LLC is a rapidly expanding Non-Emergency Medical Transportation (NEMT) provider serving clients throughout Upstate New York. As we continue to grow, we are seeking a highly organized and operationally driven Transportation Manager to oversee daily transportation operations and support essential administrative functions. This position plays a critical role in ensuring service excellence, regulatory compliance, and operational efficiency.
Position Summary
The Transportation Manager is responsible for managing all aspects of daily fleet operations, including driver coordination, trip scheduling, and performance oversight. In addition, this role will support administrative tasks that strengthen internal processes and contribute to the company’s overall operational effectiveness. The ideal candidate will possess strong leadership qualities, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities
Operations & Transportation Management
Oversee daily NEMT operations, including scheduling, dispatch, on-time performance, and required GPS compliance.
Coordinate vehicle assignments, route planning, and trip optimization.
Monitor real-time trip activity to ensure on-time pickups/drop-offs, service quality service, customer satisfaction, and incident resolution.
Coordinate vehicle maintenance schedules and document fleet conditions.
Conduct performance reviews, corrective action, address service issues, and provide coaching to drivers.
Ensure full compliance with company policies, safety and performance standards, and
regulatory requirements.
Respond to operational challenges and resolve issues in a timely and professional manner.
Maintain organized digital and physical records, forms, and company documentation.
Support onboarding processes for new hires, including vetting, training, and policy.
Manage driver schedules, timekeeping, and attendance.
Ensure compliance with state, federal, Medicaid, and insurance requirements.
Maintain driver files (licenses, certifications, background checks, drug tests).
Maintain vehicle files (registration, inspections, insurance, maintenance logs).
Prepare and submit compliance reports and audits.
Serve as liaison with brokers, healthcare facilities, and regulatory agencies.
Process billing, including attestation and denials.
Other Duties as Assigned.
Primary Responsibilities
Administrative Support
Review trip documentation for accuracy and completeness.
Track key performance indicators such as on-time performance, adjusting daily trip volume, and reducing denials.
Prepare weekly/monthly operational and administrative reports.
Ability to prioritize tasks to enhance business productivity and better serve customer needs.
Oversee preventive maintenance schedules and vehicle readiness.
Investigate accidents/incidents and complete required reports.
Implement safety programs and risk-reduction strategies.
Manage incoming calls, emails, and inquiries from clients, facilities, and partners.
Perform general office tasks including data entry, scheduling, and calendar updates.
Other Duties as Assigned.
Qualifications
3-5 years of relevant work experience.
A Bachelor's Degree in Business or Management is preferred, but not required.
Strong leadership and team management skills.
Excellent organizational, analytical, and problem-solving abilities.
High level of professionalism and strong communication skills, both written and verbal.
Proficiency with computer applications, including Microsoft Office/Google Workspace; experience with dispatch software is a plus.
Ability to work under pressure and make informed, quick decisions.
Demonstrated attention to detail and commitment to accuracy.
Pay: From $60,000.00 per year
