Receptionist/Administrative Assistant

Full time (40 hr/wk) or part time accepted, Monday-Friday only, no weekends or major holidays, some afterhours may be requested.10 hour shifts with 1 hour lunch breaks, 3 days off per week for full time employees.

JOB SUMMARY:
Under the general supervision of the Office Manager, this position performs general office or secretarial work of moderate difficulty and performs related work as assigned. This position involves developing and supporting clinic initiatives, programs, and/or projects. This position helps maintain the company’s mission by providing professional service to all incoming calls and office visitors, provides administrative support to other staff personnel, and assists with administrative tasks by providing clerical support.
ESSENTIAL FUNCTIONS:
- Operates multiline telephone system to relay incoming and interoffice calls.
- Greets all visitors courteously, determines their needs, and assists them appropriately.
- Know the range of services the practice provides and the species it treats.
- Advise clients/recommend services for their pets.
- Differentiate and prioritize between routine cases and emergency cases; alert staff accordingly.
- Understand and use special record notations, and make appropriate notes in patient records
- Maintain medical records and understand medical record filing systems.
- Maintains mail and general email by assigning client/vendor follow-up to the appropriate staff.
- Maintains front office area ensuring cleanliness and organization.
- Responsible for constructing new client and new pet packages and associated inventory.
- File invoices, receive payments, and assist in maintaining accounts receivable/payable.
ADDITIONAL RESPONSIBILITIES:
- Provides support with all community and client communications and interactions including Chamber of Commerce functions and community outreach initiatives.
- Contributes to team effort by providing input on best practices for accomplishing company goals and seeks constant improvement for this position.
- Willingness to assist with and perform other duties as requested.
QUALIFICATIONS:
- High school diploma, or equivalent, preferred.
- Human relations skills to deal effectively with visitors/customers in person or on the telephone.
- Demonstrated capability with organizational skills and time management.
- Good Computer skills including Microsoft Office (Word, Outlook and Excel).
- Ability to multitask and work under stressful conditions.
- Ability to work in a team environment.
CONDITIONS OF WORK:
Mostly sedentary. The ability to lift 50 lbs or less may be requested at times.
POSITION PAY:
Starting pay varies based on experience. Adjustments commensurate with experience. Regular raises are considered based on time with the company, efficiency with job position, and increase in responsibilities.
