Job Title: Deputy Director, Jobs Operations (California)

Salary Range: $59,000-61,000
Position Overview: The Deputy Director of Jobs Operations provides operational and financial support to the local jobs program by managing funding authorizations, contracts, compliance requirements, and reporting timelines. This role serves as the primary point of contact for contractors and government agencies, ensures accurate billing and invoicing for all eligible services, and supports employment staff as needed.
Job Qualifications
- Bachelor’s degree or 4 years of relevant experience
- Strong project/time management, analytical, and problem-solving skills; high attention to detail
- Excellent written, verbal, presentation, and facilitation skills
- Proficiency with Microsoft Office (especially Excel) and basic accounting/billing concepts
- Self-directed, dependable, and able to work independently and as part of a team
- Comfort building relationships across staff, contractors, and agencies; able to influence without authority
- Able to gather information from the field, analyze it, and compile clear, timely reports
- Must be comfortable engaging with people with intellectual and developmental disabilities (IDD) and working with them in a supporting role
- Must be comfortable with frequent local travel, use personal cell phone, and work evenings and weekends as necessary in order to accomplish job responsibilities
- Employment is contingent upon accreditation by governing state agency
- Access to an automobile with applicable insurance
Key Responsibilities include, but are not limited to:
Programs
- Build relationships with community partners and agencies to support referrals and participant engagement
- Support job development efforts, including outreach to employers, presentations, and relationship management
- Assist with participant service delivery as needed (documentation, employer coordination, coaching support, and plan/progress monitoring)
- Attend DDS and regional center meetings; maintain required records and documentation
- Partner with Government Relations to ensure compliance deliverables are completed (e.g., COIs, annual audits)
Fund Development
- Support fundraising and engagement activities as directed (events, donor prospecting, participant engagement initiatives)
Marketing
- Manage local program communications, including social media and website update content
Operations
- Manage funding authorizations (DOR, regional centers, etc.), including tracking expirations and following up to secure timely approvals
- Ensure required cases and documentation are opened/submitted (e.g., CIEs, reports) and properly filed with invoices
- Prepare, submit, and track invoices; maintain accurate billing trackers and follow up on outstanding payments
- Support monthly/quarterly financial processes, including projections, accruals, and budgeting support for the Director of Jobs
- Serve as primary liaison to government agencies and support internal staff with funding documentation (e.g., upload authorizations, coordinate timelines)
- Maintain key trackers, deadlines, and reminders (projections, accruals, paperwork) and submit required grant reporting
- Coordinate with HR and partners on staffing workflows (hours/application issues, interview follow-up, onboarding support)
- Develop SOPs/training materials and deliver or coordinate trainings (including funding and new-hire training)
- Serve as lead health, safety, and accessibility officer; coordinate completion of CARF requirements across CA offices
- Maintain CARF plans and portal documentation and complete routine reviews/audits (e.g., quarterly billing audits)
