Role Description This is a full-time, on-site Patient Service Representative role located in Kalispell, MT. The Patient Service Representative serves as the first point of contact for patients, greeting visitors, answering phones, and providing professional, friendly support at the front desk. Responsibilities include scheduling and confirming appointments, managing patient check-in and check-out, verifying insurance information, maintaining accurate patient records, and supporting clinicians with administrative tasks to ensure a smooth and organized clinic experience.
This position will initially be based at our Kalispell South location for training and onboarding, with the opportunity to transition into the lead PSR role at our new North Kalispell clinic, scheduled to open in Fall of 2026. The ideal candidate will be excited to help establish a welcoming, efficient front office environment while upholding our commitment to relationship-based, high-quality patient care.
Qualifications
- Strong appointment scheduling skills and experience managing patient flow in a busy Medical Office environment.
- Professional Phone Etiquette and clear, courteous communication skills with patients, caregivers, and team members.
- Familiarity with Insurance Verification processes and basic understanding of Medical Terminology.
- Attention to detail, accuracy in data entry, and comfort working with electronic health records or practice management software.
- Customer service mindset, with the ability to remain calm, empathetic, and solutions-focused in a fast-paced setting.
- High school diploma or equivalent required; prior experience in a healthcare or physical therapy office is preferred.
- Reliable, punctual, and able to work collaboratively on-site in Kalispell, MT, while maintaining patient confidentiality and HIPAA compliance.
