Procurement Specialist

About the Role

The Procurement Specialist is responsible for managing the sourcing, purchasing, and vendor management functions of the organization to ensure timely, cost-effective, and quality acquisition of goods and services. This role requires a high level of analytical ability, negotiation skills, and an understanding of supply chain management practices to support organizational objectives and optimize procurement strategies.

Essential Duties and Responsibilities

  • Build and maintain strong relationships with key vendors and suppliers

  • Develop and implement procurement strategies that align with organizational objectives

  • Identify and evaluate suppliers based on quality, pricing, and reliability

  • Obtain and review quotes from vendors to ensure competitive pricing and terms

  • Negotiate contracts, terms, and delivery schedules with vendors

  • Manage purchase orders, ensuring timely and accurate procurement of materials and services

  • Monitor inventory levels and place orders to prevent shortages

  • Issue purchase orders based on approved requisitions

  • Ensure accuracy of purchase orders in terms of quantities, pricing, and delivery dates

  • Monitor and track purchase orders to ensure timely fulfillment

  • Provide and maintain material status reports for the Project Management Office (PMO)

  • Coordinate the receiving process, ensuring timely and accurate receipt of goods

  • Oversee documentation and recording of received goods in inventory management system

  • Ensure incoming goods match purchase orders in quantity, quality, and specifications

  • Cross-check shipping documentation like packing slips, bills of lading, and purchase orders for accuracy

  • Conduct regular performance reviews of vendors to ensure service level agreements (SLAs) are met

  • Troubleshoot and resolve vendor issues related to product quality, delivery, and pricing

  • Continuously seek opportunities to reduce procurement costs while maintaining product quality.

  • Analyze spending patterns and supplier performance to identify cost-saving opportunities

  • Ensure compliance with internal procurement policies and external regulations

Required Business and Personal Skills

  • Strong negotiation and contract management skills

  • Excellent analytical and problem-solving abilities

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and procurement software (e.g., SAP, Oracle, Coupa)

  • Effective verbal and written communication skills

  • High attention to detail with strong organizational capabilities

  • Ability to work independently and as part of a cross-functional team

  • Customer service mindset with a proactive approach to resolving issues

  • Strong ethical standards and a high level of integrity

Required Management/Leadership Skills

  • Ability to manage multiple projects and priorities in a fast-paced environment

  • Competence in cross-functional collaboration and stakeholder engagement

  • Demonstrated ability to influence without authority

  • Capable of presenting procurement strategies and data insights to senior management

  • Initiative and ownership in identifying cost efficiencies and value-added opportunities

Preferred Qualifications

  • Bachelor’s degree in Supply Chain Management, Business Administration, Finance, or a related field (Degree preferred; equivalent profession experience will be considered)

  • Professional certification such as Certified Professional in Supply Management (CPSM), Certified Purchasing Professional (CPP), or equivalent is a plus

  • 3-5 years of procurement or supply chain experience, preferably in a mid to large-sized organization

  • Familiarity with global sourcing and international trade regulations

  • Experience with sustainability and supplier diversity initiatives
